Job Title: HR Payroll Coordinator
Facility: Wolverton
Reports to: Terminal Manager
Summary of Position:
AWC Operations Canada (AWCC) performs many logistics functions. Some of these are real-time yard management, real-time data transfers, real-time vehicle direct locating, dealer delivery, import/export preparations, rail car preparation and switching, rail car loading and unloading, and extensive assembly plant operations. The AWCC Wolverton, ON facility provides logistics services for Glovis Canada Inc.
The HR Payroll Coordinator provides administrative support to ensure efficient and productive operations as well as provides guidance and support with daily human resource and payroll-related needs.

Essential Functions, Duties, and Tasks:
Payroll
1. Calculate weekly earnings for hourly and salaried associates; verify the accuracy and completeness of the calculations; submit to Corporate Payroll Team for processing.
2. Reconcile payroll reports.
3. Process time off requests for hourly production associates (i.e., vacation requests, bereavement, jury duty, appointments, leaves of absence, etc.).
4. Collaborate with operations staff to collect wages and hours data to generate the daily W2R report and submit to corporate office.
5. Review and file all production Record of Employment (ROE's) in a timely manner.
6. Implement wage/salary increases and other payroll adjustments.
7. Conduct E.I. post audits on request.
Benefits
1. Coordinate the application for leave process for the hourly production associates (including but not limited to STD, LOA, etc.) and monitor progress in conjunction with the Corporate Benefits Department until the leave has ended.
2. Track eligibility for health, welfare, and pension benefits and provide related reports to the Corporate Benefits Department.
3. Issue and collect benefit and pension enrollment and beneficiary materials and forward to the Corporate Benefits Department for processing.
Human Resources
1. Responsible for maintaining accurate hourly personnel files (both current and terminated) while ensuring confidentiality is upheld.
2. Provide front line support for payroll, benefit and human resource questions or concerns. Identify resolution and escalate to the management team.
3. Coordinate and administer the facilities onboarding program for production associates, including new hire packet, pre-employment background checks (e.g., Criminal Record, Drivers Abstract), pre-employment medical assessments and new hire orientation.
4. Complete monthly attendance summary/totals for hourly associates, submit to the corporate office.
5. Monitor production associate performance, and initiate corrective action when appropriate.
6. Issue letters of employment as requested.
7. Gather information to support workplace investigations of hourly production associates and/or operational issues.
8. Assist in and coordinate the completion of the Termination Checklist process.
9. Monitor facility compliance with policy, procedure, associate handbook.
10. Communicate and facilitate the administrative process regarding workplace injuries, between the WSIB, the associate, and management.
11. Escalate all Human Rights, Employment Standards, WSIB, AODA, etc. issues to the Regional Human Resource Manager.
General Administration
1. AP invoicing coding in Concur AP system.
2. Maintain inventory of office supplies.
3. Respond to telephone, e-mail and in-person inquiries from customers, and other parties.
4. Administer and manage inbound/outbound mail, including priority post, packages, courier services and other correspondence.
5. Accept and monitor inbound shipments as necessary.
6. Attend various meetings as needed (e.g., Benefits Payroll User Group meeting).
7. Investigate and provide recommendations to continuously improve daily tasks.

Working Conditions:
1. Work is performed indoors in an office setting.
Education, Experience, and Minimum Requirements:
1. Minimum 2 years of vocational/college education in relevant area of study.
2. Good knowledge of payroll systems and internal controls.
3. Good knowledge of human resource and payroll legislation.
4. Intermediate level of proficiency with MS Office (e.g., Word, Excel and Outlook).
5. Active Standard First Aid CPR A + AED.
6. Successful credit and criminal record check are required.
