Cleaning and Support Services provides cleaning, janitorial and property related support services to a wide range of premises and we thrive on building long term relationships with our clients.

Responsible To: Head of Operations
Roles and Responsibilities:
Operation Rotas
Ensure all staff rotas are in place to cover the needs of the operation taking into account peak periods and holiday periods. Review rotas on sites on a regular basis and ensure adequate cover is used when needed.
Specification
Establish a thorough understanding of the cleaning specifications for the sites you are responsible for and monitor the frequencies of all activities.
Review the specification on a regular basis alongside the site supervisor/manager and obtain evidence of the specification is being met.
Monitor and review the cleaning standards by walking the sites with the site supervisor/manager.
Make suggestions on improving the specification where appropriate.
Health And Safety
Ensure Health and safety requirements are met with reference to the site manual and relevant H&S legislation. Be cognisant of all relevant H&S legislation affecting the cleaning industry.
Audits
Carry out site audits to an agreed schedule. Review audit results and report findings to client
Agree action plans with site supervisor/manager to correct any poor audit scores.
Travel Plans
Establish and maintain an agreed weekly travel plan.
Site Procedure Manual
Ensure the site procedure manual is up to date.
Equipment
Check all machinery when on site, ensure it is safe to use report to head office if not. Maintain site asset register, updates sent to head office.
Head Office
Liaise with Human Resources / Payroll and Operations teams at head office to effectively support site supervisors/staff and maintain excellent customer service.
Ensure both yourself and your teams engage effectively and professionally with all central head office functions.
Ensure that all deadlines are met.
Finance Hours Budget
Control the hours budget for each site with the site supervisor/manager reviewing the spend each week.
Chemicals
Monitor the spend for cleaning products and equipment on each site ensuring it stays within the allocated budget.
Monitor usage and amount of chemicals on site (Don’t allow excess of one chemical due to not monitoring the needs of the site).
Uniform
Manage the spend on uniform for each site whilst ensuring that staff have the adequate clothing to fulfil their role.
Ensure supervisors and cleaners are uniformed correctly, taking appropriate action when not.
Equipment
Minimise spend on machinery by effectively managing the use of machinery on site as well as damages /repairs.
Customer Relationship
Maintain an effective working relationship with the customer by carrying out regular site visits. Meet the customer at each site visit and update them with any relevant information.
Respond to any customer feedback in a professional and timely manner.
Have regular updates with the appropriate person on site to ensure effective communication within the company and to the customer.
Confidentiality
Maintain confidentiality at all times and establish and maintain a good reputation with the customer.
Opportunities
Identify opportunities to expand business on sites.
Take a proactive approach to increasing the services offered to customers.
People
Establish and maintain a good working relationship with our cleaning teams, including their supervisors and managers. Regularly meet with our people and make regular telephone contact.
Payroll
Ensure staff are clocking on/off and submitting holiday and sickness forms within the given timescales
HR
Work with HR to effectively carry out disciplinaries and grievance hearings.
Liaise with HR to effectively manage new starters ensuring their applications and correct identification papers are with Head Office within agreed timescales.
Conduct appeal hearings where required, liaising with HR.
Monitor absence levels on sites and engage with site supervisors/managers and HR to reduce any on-going absence issues.
Training
Assist with and where appropriate lead the development and implementation of staff training programmes.

Experience
Proven experience of managing people ideally across multiple sites.
Experience within the cleaning industry.
Proven track record of dealing with customers.
This Job Description is not an exhaustive list of duties and the contract manager will work with an appropriate degree of autonomy and flexibility. Further duties/tasks may be added which will not materially affect the nature of the role.
