The Role
IPL currently have an exciting opportunity for a Customer Service & Sales Support Advisor to join the Sales & Commercial team in Rotherham. Reporting into the Sales Director: Environmental, you will be responsible for ensuring our customers receive the best possible service from us. This is a busy role where you will be working closely with colleagues in the Sales and Commercial team but also the wider team on site, including Quality, Planning and Production.

Flexible approach to working after initial 3-month office-based induction/training period
Hours: 40 Hours: 8.30am to 4:30pm (with a degree of flexibility) (Monday to Friday)
The Role:
Working as part of the Sales and Commercial team you will be the main point of contact for our customers. You will co-ordinate elements of product delivery and scheduling whilst managing customer expectations and maintaining an excellent level of customer service.
Duties will include (but are not limited to):
1. Manage the Sales and Customer Services inbox ensuring queries and orders etc are processed in a timely manner or sent on to the relevant contact / department
2. Ensure all product specifications are correct and the most up to date version is available on the public folder
3. Ensure all orders and quotations are input into the system accurately and within expected timescales
4. Ensure order confirmations are sent to the relevant councils as required
5. Input daily order information to ensure the daily order reports and weekly sales reports are accurate and up to date
6. Liaise with the planning team to ensure the daily order reports reflect any changes that are made to the production plan
7. Generate Purchase Orders requisitions and supply PO numbers to our Customers / Suppliers as soon as these are available
8. Ensure all Purchase Orders are booked out against the correct invoice
9. Attend Production, Planning and Customer complaints meetings
10. Be the main point of contact for Councils and Suppliers
11. Arrange delivery of sample products to customers through the Fedex system
12. Contact customers to advise of delivery date changes / delays
13. Conduct Customer satisfaction surveys and work with the National Account Managers to maintain and improve these where required
14. Contact previous customers where there are business opportunities
15. Provide administration support to the Sales team as and when required e.g populating specification sheets and order forms
16. Ensure any changes to customer accounts are processed accurately e.g. address changes
17. Answer the main switchboard, ensuring that all calls are dealt with professionally and efficiently
18. Maintain site security by following safety procedures and controlling access into and out of site
19. Meet and greet visitors to site, ensuring the correct signing in and out processes are followed
20. Provide support to other departments as and when required – e.g. supporting Credit Control to ensure invoices are paid as per the Sales agreement
21. Organize site events including inviting participants, booking rooms and ordering refreshments
22. Ensure electronic and paper files are maintained to a high standard

Required Skills:
1. Previous administrative experience and customer service experience is essential
2. Experience working in a similar role e.g. Customer Service, Sales Administration
3. Strong communication, written and oral skills, with the ability to work well as part of a multi disciplinary team
4. A good level of IT skills with the ability to utilize the Microsoft suite of packages and in house systems
