A rare opportunity has arisen for a highly organised and proactive Team Assistant/Administrator to join a small, successful and dynamic team in the education sector. This role is ideal for someone who has a meticulous eye for detail, thrives in a fast-paced environment, enjoys problem-solving, and takes pride in ensuring smooth daily operations.
You will be the first point of contact for clients, while also handling heavy diary management for the CEO, contract administration, invoicing, and supporting consultants with day-to-day administrative tasks.
Key Responsibilities
1. Diary Management: high volume meeting and diary management for the CEO, resolving clashes and last-minute changes effectively and professionally.
2. Administration: Maintain client records, ensuring consultants have the information they need.
3. Client Liaison: Provide a welcoming and professional first impression to visitors and callers, client onboarding.
4. Contract & Invoice Management: Prepare and issue contracts, process invoices accurately, chase for payment in a timely manner and ensure accurate financial records.
5. Office Coordination: Oversee supplies, liaise with service providers, and maintain a well-organised and professional workspace.
You will be/have
1. 4 yrs + experience in PA/administrative roles with excellent attention to detail.
2. Must have an understanding of Xero, level of numeracy.
3. Confidence to upwardly manage, high EQ.
4. Muck-in, proactive, professional.
5. Like to keep updated on current affairs.
6. Strong organisational and multitasking abilities.
7. A proactive approach, able to anticipate needs and take initiative.
8. Excellent communication and interpersonal skills.
9. Ability to handle confidential information with discretion.
10. Experience in the educational sector is a big bonus.
