The ideal candidate will recognise the importance of maintaining excellent public relations within a large corporate environment. You should be multi-functional, capable of building effective relationships with various departments such as Marine, Pilots, HR, and Finance, and working collaboratively with them. Experience in invoicing and payment processing is essential, demonstrating your attention to detail and financial acumen. Accountabilities Administrative Support: Assist all teams and department heads with tasks such as arranging meetings, preparing documents, and welcoming new employees. Reception Duties: Cover reception on a rota basis, handle calls, greet guests, manage deliveries, and maintain the reception area. Permit Administration: Process applications and permits for mobile cranes on port. Mail Management: Handle incoming and outgoing mail efficiently. Booking Services: Arrange taxis, couriers, and florists for all teams. Security Passes: Process Security ID and vehicle passes using 'Avigilon' for staff, tenants, and contractors. Purchasing: Manage purchasing duties, including raising requisitions, placing orders, and resolving invoicing queries. Uniform and PPE: Supply and issue uniform and PPE and arrange servicing for specific equipment. Fleet Management: Administer the telematics' system for pool cars and issue passes. Project Involvement: Participate in improvement projects as needed. Skills & Experience Proven experience or working within an office environment Proficient in the use of Microsoft Office including Word, Excel, Outlook and PowerPoint. Excellent time management and organisational skills, with the ability to multi-task and prioritise work. Excellent communication skills, written and verbal, to include face to face and via telephone. Good interpersonal skills and previous experience of dealing with the public. Attention to detail Ability to be a team player as well as using own initiative. Flexible approach to working hours and duties. Working Hours Our standard working hours are from 9:00 AM to 5:00 PM, Monday to Thursday, and from 9:00 AM to 4:30 PM on Friday.
