Administrator (Electrical Department)
To assist the Electrical Manager and Team Coordinator with day-to-day tasks to support key functions of the electrical team, whilst ensuring we meet all our statutory compliance requirements along with ensuring we fully meet the compliance needs and requirements of our client in line with the contract.
You will be required to maintain accurate records, manage and update key documents and data to support the various work streams within the Electrical department. Data, project works and key tasks carried out will be monitored, reviewed and updated using the PCC Repairs & Maintenance database and a variety of Excel trackers that have been created to support key work streams.
Accountabilities:
* Ensure all processes are followed to provide accurate and timely information of key data, review and amend processes to support efficient and effective working at all times.
* Continue to develop and maintain high levels of communication with all key stakeholders both within the Electrical department and other departments with Comserv.
* Where necessary, directly address areas of improvement within the team, and also support the team to ensure we maintain 100% Compliance for the contract.
* Review/maintain all department Excel trackers, check for errors, job status, and periodically check the data matches any Clients reports.
* Support with Job creation in both the PCC database.
* When required, provide monthly reports on the position of each work stream, highlighting any areas of concern along with key achievements.
* Maintain and monitor off-system data sheets/trackers supporting cyclical and planned projects.
* Maintain the file structure within the Electrical V Drive.
* As and when required, support the service coordinators with calls from Clients and operatives.
* Any other ad hoc duties as may be required from time to time.
Skill set required:
* Previous experience within the repairs and maintenance sector.
* Excellent communication skills and a discrete and confidential approach to work.
* Able to adopt and follow company guidelines, policies & procedures, computer systems, and ways of working.
* Excellent organisational/time management skills.
* Ability to work under pressure to strict deadlines.
* Advanced Microsoft skills (Excel) and the ability to manage, review, and manipulate system data to a high and proficient standard (Essential).
* Demonstrate attention to detail and accuracy at all times.
* A good understanding of the types of Electrical work undertaken within the sector.
* Basic understanding of HSE requirements.
* Strong focus on continuous improvement for processes and people.
