We are delighted to announce we are seeking to appoint a highly organised and personable PA to the Heads of the Junior Prep School and Senior Prep School.
This role is a term-time plus four-weeks opportunity, working Monday to Friday 08:30-18:00, 38 weeks per year.
The Role
The PA to Heads of SPS/JPS will provide a full, comprehensive and confidential PA and administration service
Duties include, but are not necessarily limited to, the following:
* Managing diary and meetings for the Head of the Junior Prep and Head of the Senior Prep.
* Communicating with all the constituencies which comprise The Preparatory Schools community: teaching and non-teaching staff, parents, Governors, HPA, and visitors to the School, and also ensuring smooth links with the Senior School.
* Minuting meetings utilising AI, including the weekly meetings of the Common Room and management meetings.
* Production and circulation of correspondence, reports and minutes.
* Supporting the Heads at public functions.
* Organising whole year group residential trips, prize givings and other events throughout the year, including booking transport, catering etc
* Undertaking all the usual office routines and duties such as database administration, photocopying.
* Support the Receptionists when required, in being the first point of contact for visitors, callers, supporting pupils and being a First Aider.
The Person
The successful candidate will have excellent interpersonal skills with the ability to communicate effectively with a diverse range of people of all ages and at all levels.
Other essential skills include:
* Meticulous attention to detail
* Excellent spoken communication skills, particularly telephone manner
* Ability to effectively managing changing and competing priorities
* High-level of proficiency in Microsoft Office packages, in particular Excel and Word
