More detail about the role The post holder will: Work closely with the Workforce Solutions teams Project Manager and Senior Project Manager along with the Workforce Solutions team and colleagues from other Directorates such as Digital and People to support high quality project deliverables within timeline & scope. Provide administrative support and coordination to the Project Manager and Senior Project Manager such as scheduling & minuting meetings, liaising with stakeholders and maintaining project documentation. Offer excellent organisational and communication skills to the Project Wing; developing and maintaining productive relationships with the Workforce Solutions team and wider stakeholder group. As a vital member of the Project Wing, you will play a crucial role in supporting the delivery of Workforce Solutions projects. The post holder will provide: Project Coordination: Assist in the planning, coordination, and execution of various Workforce Solutions system, data and HR projects, ensuring timelines and deliverables are met. Administrative Support: Provide comprehensive administrative support including scheduling meetings, preparing documentation, and maintaining project documentation, and organise Senior Leadership Team activities such as on-call, and training sessions. Data Management: Assist in the collection, analysis, and reporting of project data to inform decision-making and track progress. Communication: Act as a point of contact for project-related inquiries, ensuring clear and effective communication between project team members, SMEs, stakeholders, and external partners. Resource Management: Help manage project resources, including tracking staff availability, highlighting slippage and coordinating stakeholders. Documentation: Develop and maintain detailed project documentation, including project plans, meeting agendas & minutes, action trackers and risk registers. Continuous Improvement: Contribute to the ongoing improvement of project processes and methodologies, ensuring best practices are developed & followed. Cover: Occasionally provide business continuity for projects and support an escalation framework to mitigate risks to project quality and success. Qualifications and Experience: Proven experience in a project support or administrative role is an beneficial but not essential; we want to hear from candidates with the right attitudes and willingness to learn we will teach you the skills to thrive in our team. Excellent organisational skills with the ability to manage multiple tasks and priorities. Strong communication and interpersonal skills, with the ability to liaise effectively with a diverse range of stakeholders, including clinical colleagues, senior managers and directors. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and project management documentation. Knowledge of data management and analysis tools is desirable. A proactive and flexible approach to work, with a strong attention to detail and problem-solving abilities.
