We are working with a prestigious and sustainability-focused architecture practice that has a large portfolio of notable projects. They are looking for an organised and process-driven Project Administrator to join their social and busy studio.
Within this role, you will collaborate closely with project and design teams, implementing control systems and fostering positive relationships both internally and externally. The ideal candidate will have previous experience in administration or data entry, thrive in a collaborative, creative environment, and be proficient in electronic document management systems.
This role would suit a proactive, enthusiastic individual with strong multitasking skills, who is looking to join a company with a social work environment, hybrid and flexible working options, and a gorgeous office!
Key Responsibilities:
* Act as a key liaison between design teams, contractors, and clients to maintain clear communication
* Coordinate the timely distribution of project drawings and documentation
* Record and track incoming and outgoing project information within filing systems
* Ensure project procedures are consistently followed by all team members
* Maintain and update drawing registers, issue logs, and project trackers
* Manage project data uploads and downloads on platforms such as Viewpoint, Asite, and Aconex
* Assist with preparing and circulating site reports using Microsoft Office tools
* Track information flow and outstanding actions, ensuring efficient document control
* Uphold compliance with practice standards and templates
* Support project teams in establishing effective control processes
* Handle additional administrative tasks as required
Key Skills/Requirements:
* Previous experience working with EDM platforms (Viewpoint, Aconex, Asite)
* Proficient in Microsoft Office (Word, Excel, Outlook)
* Strong communication skills, both written and verbal
* Knowledge of Adobe Creative Suite is beneficial
* Highly motivated, positive, and adaptable to changing tasks
* Calm under pressure and capable of meeting tight deadlines
* Excellent organisational and time-management abilities
* Efficient and thrives in a fast-paced environment
