Job summary
Willow Practice is seeking a motivated and enthusiasticindividual to manage the business and operational aspects of the practice, and provideleadership and support to our experienced team. The successful candidate willhave experience managing people and operations, and be able to ensure thesmooth running of the practice. We would envisage a working week between and hours over 3 or 5 working days (to be discussed dependent onapplicants preferred choice, experience and practice needs.)
Main duties of the job
The role requires an individual confident in managing staffand with strong leadership skills. The individual must be capable of balancingstrategic and financial management alongside more general management includinghuman resources, health and safety, IT and quality improvement. The successfulcandidate will be supported by Training & Rota managers, a Practice Secretaryand an experienced administration team whilst overseeing the day to day runningof the practice.

Willow Practice is a friendly, two partner practice based inMaswell Park Health Centre on the border of Hounslow and Whitton. We have excellent transport links being twominutes walk from Hounslow Main Line station and a further walk to undergroundstations. We also have on site staff parking.
The practice cares for around 6,200 patients. We are focusedon providing the highest standard of care for our patients and are committed totraining and supporting both our clinical and non-clinical staff to deliverthis. In the last GP survey, we were proud to be above both the local andnational benchmarks in terms of patient satisfaction. We have a Google ratingof stars out of 5 and regularly attain Friends & Family Test scores ofbetween 85%-95%.
We achieve highly on QOF and are rated Good by CQC
We work closely with the 2 other practices within the HealthCentre and engage with Hounslow Health Primary Care Network contributing tonetwork targets.
We have an expanding team of ARRS staff working on and offsite.

Job responsibilities
The following are the core responsibilities of the PracticeManager. There may be, on occasion, a requirement to carry out other tasks.This will depend on factors such as workload and staffing levels.
a) Oversee the management of the day-to-day operations ofthe practice, ensuring that staff achieve their primary responsibilities.
b) Manage the HR processes, including recruitment, relevantchecks, contractual issues, appraisals and staff performance.
c) Monitor workforce planning, ensuring both an adequate skillmix and ensuring that staff have the appropriate level of training to enablethem to carry out their individual roles and responsibilities effectively.
d) Ensure employment law and legislation is adhered to withthe support of external HR Consultants.
e) Assist with project management within the practice.
f) Keep up to date with developments and changes withinprimary care and act accordingly.
g) Assist in ensuring QOF and commissioned service targetsare met.
h) Manage the complaints process in line with currentlegislation and guidance.
i) Collaborate with colleagues to ensure integrated andcoherent planning and analysis.
j) Assist in the significant event process.
k) Handle all updated contracts with NHSE, HounslowConsortium and other providers.
l) Deal with contracts and maintenance for services andequipment.
m) Oversee regular reviews and updates of all practicepolicies and procedures.
n) Manage the practice IT system, including compliance withthe Data Security Protection (DSPT).
o) Assist with coordinating the practice development planand business continuity plan.
p) Ensure on-going CQC compliance.
q) Ensure the practice maintains compliant with its NHSEcontractual obligations.
r) Provide advice and support to the team to ensure effective teamworking.
s) Manage effective communication, both internal and external, andensure the website and other communication platforms are accurate and up todate.
t) Support the management of the Patient Participation Group.
u) Manage estates and facilities, including health and safetyaspects and risk assessments.
v) Assist with developing and supervising appointment systemsthat work well for patients and clinicians
w) Handle financial systems for the practice,including payroll

Qualifications
Essential
1. A levels or equivalent
2. GCSE grade A to C in English and Maths
Desirable
3. Degree in Business Management or equivalent
4. Any other relevant qualification such as IGPM etc

5. Very good IT skills
6. Experience of managing multidisciplinary teams
7. Experience of performance management including appraisals, staff development and disciplinary procedures
