This is a 9-month fixed term contract with potential to become a permanent position.
Our client needs a pro-active, highly organised and experienced PA to join their team.
Duties include but are not limited to:
1. Managing busy Chairman’s diary (complex travel itineraries, drivers’ schedules, dining reservations, meeting schedules and delegations) as well as providing full administrative support.
2. Management of Chairman’s family affairs (arranging drivers, complex travel aspects, booking doctor’s appointments, coordinating personal trainers, dining arrangements, personal shopping, household maintenance/administration).
3. Project management within building and design, contract negotiations, building control and organisational matters, other project-related matters.
4. Organising parties and prestigious VIP events.
5. Management of cars, holidays and all personal affairs.
6. Data, expenses & filing management.
7. Handling petty cash and the Chairman’s expenses, in conjunction with the internal accounts department.
8. Raising Purchase Orders, managing and placing orders.
9. Organising external/internal meetings as well as producing board meeting papers, agendas, and facilities for meetings.
10. Dealing with incoming and outgoing correspondence.
11. Looking after the Chairman’s visiting VIP guests, ensuring their requirements and expectations are met.
12. Working closely with staff in global offices and across time zones.
13. Household personnel management, rotas/holidays/training organisation.
The role will be based over 80% of the time in the family’s Mayfair private residence and sometimes in the office if required.
The ideal candidate will have:
* 1-3 years of PA/Administrative support experience in the UK.
* Project Management exposure will be highly preferred.
* A degree is preferred.
* Tons of common sense.
* Superb organisational skills.
* Good MS Office and typing skills.
* A quick learner.
* Ability to prioritise, multi-task and take initiative.
* Ability to work within a close-knit team.
* Eye for detail.
* Ability to adapt to last minute changes.
* Ability to demonstrate discretion at all times.
* Proactive and able to work on own initiative.
* Flexible and versatile.
* Strong attention to detail.
* Good communication skills.
* Must be able to adapt quickly and easily to change and to work as part of a team.
