As a GP Receptionist, you will be the welcoming face andvoice of our practice, playing a crucial role in ensuring a seamless experiencefor our patients. Your responsibilities will include managing appointments,handling patient enquiries, and supporting the clinical team withadministrative tasks. Your ability to multitask, communicate effectively, andmaintain a positive attitude will be key to your success in this role.
Main duties of the job
1. Appointment Management
Booking Appointments: Schedule patient appointments usingthe practice management software.
Rescheduling/Cancellations: Manage appointment changes andcancellations efficiently.
Reminder Calls/Texts: Send reminders to patients aboutupcoming appointments.
2. Patient Interaction
Greeting Patients: Welcome patients as they arrive at thepractice and assist with check-in.
Handling Enquiries: Respond to patient enquiries in person,over the phone, or via email.
Providing Information: Offer information about practiceservices, procedures, and policies.
3. Administrative Support
Record Keeping: Maintain and update patient recordsaccurately and confidentially.
Filing and Documentation: Organise and file patientdocuments, correspondence, and other paperwork.
Data Entry: Input patient information and appointmentdetails into the system.
4. Communication
Liaison Role: Act as a communication link between patients,GPs, and other healthcare professionals.
Message Handling: Take and relay messages accurately to theappropriate staff members.
5. Prescription Management
Processing Requests: Handle repeat prescription requests andforward them to the relevant GP for approval.
About us
Ramsbottom Group Practice is a training practice based inthe centre on Ramsbottom serving a practice population of approximately 8,300patients.
We are a friendly, supportive team consisting of 3 Partners, 2 salariedGPs, a nursing team, along with our admin and reception team.

Reception
1. Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
2. Deal with all general enquiries and explain practice procedures when required.
3. Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
4. Handing completed repeat prescriptions to patients.
5. Advise patients of relevant charges for private (Non-General Medical Services) services, accept payment and issue receipts for same.
6. File prescriptions, sick notes, and path lab forms.
7. Action tasks sent by all clinicians.
8. Check new patient registration forms have been completed correctly and check their ID.
9. Receive samples from patients & ensure they have been labelled correctly prior to sending to the labs
Appointments
10. Deal with practice tasks and book appointments accordingly.
11. Deal with home visits requests and check the home visit screen to provide summary printouts for the clinician.
12. Deal with late call requests.
13. Ensure total familiarity with all appointment systems including regular and incidental variations.
14. Book appointments and ensuring sufficient information is recorded to enable retrieval of the medical record.
15. Monitor effectiveness of the system and report any problems or variations to the Practice Manager/Reception Supervisor.
Computer
16. Process patients changes of address, computer data and medical records (have knowledge of practice boundary)
17. Process repeat prescription requests in accordance with practice guidelines
Telephone
18. Ensure prompt logging on to the telephone system.
19. Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
20. Have working knowledge of telephone system, during and after hours.
21. Cover for colleagues when necessary.
Administration
22. To have a thorough knowledge of all practice procedures
23. To work in accordance with written protocols
24. Ensure adequate stationery is on the reception desk.
25. Photocopy as requested.
26. Action out of hours and discharge reports on Emis and highlight any action to be taken.
27. Process Emis workflow in a timely manner
28. Run the new patient template and add date from registration form and process accordingly.
29. Provide administrative support to members of the primary health care team in the following areas ensuring appropriate practice records are kept up to date:
30. Pathology results
31. Add read codes onto the clinical system from hospital correspondence in line with data quality and information governance.
32. Scan and attach documents onto the Emis clinical system.
33. Forward all relevant mail to the clinicians and reception teams for actioning.
34. Distribute all NHS mail received into the practice to the relevant departments.
35. To undertake administrative duties as per QOF (quality and outcomes framework)
36. Undertaken any additional duties appropriate to the post as requested by the Partners/Managers
Medical record
37. Ensure that records are available upon request.
38. Sort and summarise incoming notes for new patients.
39. Retrieve and re-file records as requested, ensuring that strict alphabetical order is adhered to.
40. Ensure correspondence, reports, results etc. are filed in correct records.
41. Ensure records are kept neat and tidy and in good repair with all necessary information recorded correctly on the outer cover.
42. Pulling/filing notes when required and updating as necessary.
43. Deal with SAR (subject access request) from Solicitors and provide copies of medical records.
Other Tasks
44. Ensure building security have thorough knowledge of doors/windows/alarm.
45. Tidy the waiting area in turn with your colleagues.
