Work Project Administrator
Location: Edinburgh Park, Edinburgh
Salary: £30,400 - £38,000
Closing Date: Wednesday 13th November
Interviews anticipated: w/c 18th November
First month of the role will be based in Cambuslang for training.
What you’ll be doing:
* On-boarding - request all IT, Hardware & Software via ITNow
* Conduct office H&S walkaround and complete the associated paperwork.
* Main point of contact for facilities maintenance/H&S/security issues.
* Request security passes for all new employees.
* Maintain the fleet vehicle tracker and coordinate the pool vehicles.
* Raise Purchase Orders via SAP / IBUY for orders PPE, Stationery and SS Keys.
* Ensure correct level of access prior to registering and issuing Smart Keys.
* Coordinate archiving and arrange uplift of archive boxes and confidential shredding.
* Order Mobile Phones for SPT staff via the IT Mobile phones service request.
* Keep accurate records of all IT equipment and Mobile Phones issued and returned.
* Ensure all order forms are uploaded to Projectwise / ACC.
* Order Personal Protection Equipment (PPE) and first aid supplies and distribute.
* Order Stationery and printer paper for the Office.
* Arrange courier collections to and from Office for IT equipment.
* Book Hotel and Travel for Strategic Projects team as needed via SAP Concur travel system.
* Maintain the printers, paper, and toner; arrange collection of empty cartridges.
* Provide support call taking if required (Storm Role).
* Maintain noticeboards with Alerts, Fire and First Aid Information.
* Create and maintain a desk booking tracker.
* Conduct monthly inspections/walkaround to ensure no hazards around the office area.
* First Aider for office.
* Support Strategic Projects with arranging internal and external meetings and events.
* Ensure support for office when out on leave via centralised PMO Programme manager.
What you’ll bring:
* Business Management or Administration Qualification.
* SAP Experience preferred.
* Experienced in the use of MS Office tools and strong administration skills.
* Excellent organisational skills.
* Proven ability to work in a team environment.
* Enthusiastic and flexible approach to work.
* Fire Marshal (Training will be provided).
* First Aider (Training will be provided).
Minimum criteria:
* Business Management or Administration Qualification.
* Previous administration experience.
* Proven ability to work within a changing workload to agreed timescales.
* Proficient IT user on Word, Excel, and a recognised database software package.
