Events Manager - Event Planner
Trump Turnberry is looking for an experienced luxury Event Planner to join our team.
Immersed in over 100 years of history and heritage, our Event planning team plan and co-ordinate events held in function spaces with the perfect backdrop of breathtaking views of Ayrshire’s inspiring coastline.
POSITION PURPOSE
To lead the Event planning team to intricately, professionally, and efficiently curate all Resort groups, events, and off-site functions in a friendly, luxury and highly creative manner. These include but are not limited to corporate conferences, weddings, corporate golf days, incentives, and social events. Supporting and assisting the team with all aspects of Event Planning. To drive the team to maximise department and resort performance and revenues by ensuring accuracy in bookings and documentation, contract adherence, forecasting, and billing, together with seizing every opportunity to up-sell the resort products and services.
In partnership with the HR Department, manage the training and development processes within the team. Be responsible for the quality assurance systems, by ensuring Standard Operating Procedures (SOPs) are in place and kept up to date for all practices. Oversee the ongoing development of the department's Resort and role-specific information database.
ESSENTIAL FUNCTIONS
1. Lead the Events Team to effectively manage the co-ordination of all group and wedding business, working on own dedicated events and supporting the team with their assigned events
2. Drive the team to achieve goals through managing and supporting all clients to maximise revenues and create additional revenues, by adhering to contracted terms and utilising upselling techniques in all areas of the resort. Maintain optimum level of group occupancy, average room rate, banqueting revenue, wedding sales, and leisure revenue to ensure budgeted targets are met.
3. Empower the team in alignment with KPI’s to support performance excellence across the Resort, ensure that all Event Summaries and Banqueting Event Orders produced by the department are done so with a meticulously high level of accuracy, fully agreed and signed off by the client, and distributed internally in accordance with company timelines.
4. Establish strong relationships and encourage open communication with the reactive and proactive sales teams, offering technical advice, operational & product knowledge, and overall support throughout the sales process. Thereafter ensure self and Events Team encourage efficient transition for each contracted event
5. Take responsibility for own and teams’ process for managing clients through the planning stages, adhering to all payment deadlines, presenting detailed documentation to support the operational departments with execution, maintaining an appropriate presence throughout the event, ensuring final invoice payment is collected, and securing future event bookings prior to departure.
6. Build strong professional business relationships with all clients, suppliers, and Resort associates ensuring 5 star service is delivered by self and team at all times. An approachable, friendly, flexible, and supportive demeanour must always be portrayed.
7. Encourage, prepare for and confidently carry out thorough and detailed planning meetings by method suitable to the individual client including telephone, video call and on property visits. Support the Group Sales Manager with arranging, and hosting familiarisation trips and client entertainment, attend trade shows to assist the Resort in the promotion of events and weddings. Ensure the team is appropriately trained and executing to the same high standards that you observe.
8. Confidently chair comprehensive weekly Summary and BEO meetings with key personnel from operational departments, and lead, or support events team member to lead, pre-convention meetings with clients and department managers for all groups over 40 guest rooms or VIP/Elite events.
9. Oversee the Events team on a daily basis dealing with all business and people challenges as they arise
CANDIDATE SPECIFICATION
10. Experience at a management level in a luxury hotel event planning role is essential. Bachelor's degree would be preferred and qualification in Events Management/Hospitality would be an asset.
11. Must be able to communicate freely and eloquently in both written and spoken English.
12. A proactive, self-starter who is able to work within a team as well as individually.
13. Excellent time management & organisational skills are essential.
14. Must possess well-developed computer skills and enjoy a substantial amount of office based computer work
15. Extreme attention to detail and ability to multi-task in a fast paced environment are essential together with a passion for events and desire for continual department performance improvement.
16. Must be able to work shifts, weekends, holidays and adhere to our immaculate grooming policy and strict uniform standards.
