Job Title: Private Family Office Travel Assistant Reporting to: Family Office Executive Assistant Working Hours: 40 hours per week (Monday to Friday, with occasional weekends on call' whilst family is travelling) Salary: £45,000 per annum Responsibilities: Arrange, research, and book holiday trips for the Principals and family throughout the year (Christmas, Easter, Summer, Thanksgiving, etc.) and coordinate other trips for individual family members. Research and book last-minute weekend getaways. Oversee all aspects of travel coordination, including travel research, visa applications, light, car, and taxi bookings. Prepare and deliver comprehensive travel itineraries and travel information packs, including any required paperwork. Understand the complex preferences for personal travel, meet expectations, and arrange staff if needed (e.g., housekeeper, chef, butler/waiting staff) along with pre-booking and shopping arrangements. Deliver detailed itineraries to the Principals with a focus on end-to-end arrangements and exceptional attention to detail. Research all available on-site or nearby activities and attractions. Manage guest lists of friends and family invited on trips. Prepare invitation booklets for various properties to share with family and friends. Track costs for each trip with detailed spreadsheets, providing a summary upon trip completion. Oversee and verify invoices, negotiating where necessary, and submit for final approval. Optimize travel bookings using Avios or similar programs to ensure cost savings, planning ahead where possible. Promptly communicate schedule changes and reorganize as needed, ensuring all parties are informed. Keep the travel diary updated with comprehensive end-to-end travel arrangements. Liaise with travel agents or book directly with transport providers as required. Monitor travel budgets and flag any deviations to the Principals. Create bespoke, personalized experiences and itineraries with minimal interaction with the Principals. Person Requirements: Proven experience working with UHNW clients in a luxury setting is advantageous. Discreet, professional, and highly organized. Proactive problem-solver with the ability to offer multiple solutions and scenarios as needed. Positive "can-do" attitude, adaptable to last-minute changes. Ability to handle multiple, simultaneous travel arrangements. Excellent IT skills. Established network of contacts to arrange specialized experiences as needed. Additional languages are beneficial. Strong attention to detail.
