Personal Assistant | Competitive salary plus excellent benefits|12 Month FTC |Spire Edinburgh We have an exciting opportunity for an experienced Personal Assistant (PA) to join the team on a full time 12 month FTC at Spire Murrayfield Hospital. Duties and responsibilities; - Provision of excellent standard of secretarial support to Hospital Director, to ensure the smooth operation of the Hospital Director's Office. This will include, but not restricted to, email and diary management, arranging meetings with internal/external parties, arranging events and forums, submitting expenses. - Administration and minuting of meetings attended by the senior management team and others when required. Tracking actions and ensuring that deadlines are met. - Coordinate the preparation of presentations for the HD. - Administer the consultant medical society including (but not limited to) the co-ordination of the application process for Practicing Privileges, ensuring all consultants are compliant with their mandatory paperwork, co-ordinate the Biennial Review process, facilitate inductions, and attend quarterly MAC meetings (evenings). - Organise travel and accommodation bookings for the hospital team. - Manage meeting room bookings and ensure IT and refreshment requirements are organised. - Provide monthly feedback on IT central support. - Maintain governance around shared drive access to employees. - Ensure all local policies & forms are version controlled and tracked, and corporate policy updates are circulated to the relevant teams, signed off where needed and hospital hard copy library is up to date. - To liaise with the wider hospital team, ensuring excellent communication, scheduling of meetings and disseminating information appropriately. - Carry out any tasks, delegated by the Senior Management Team, which reasonably fall within the nature and level of responsibilities of the post. - Practice and maintain a high standard of confidentiality at all times and exercise absolute discretion in the use of all patient/ consultant/ staff/ management information.
