We are looking for an Administrative Support Officer to join the busy Waste and Street Cleansing team. You will be a motivated person with administrative experience in a customer focused environment.
You will be responsible for providing essential admin support across a range of service areas including financial support, triaging cases, monitoring inboxes, and acting as the first point of contact for a variety of service areas.
Home working is permitted subject to operational requirements and in accordance with Council policies, and equipment will be provided to enable this. However, you will also be required to work in the Council offices and attend in person meetings as required.
This role is a permanent position, and you will be part of a small but friendly waste team within a large workforce, most of which serves both Richmond and Wandsworth Councils.
Objective of the role
1. Provide admin support and input into the day to day working of the Waste and Street Cleansing team.
2. Provide financial admin support within the wider team as required.
3. Provide admin support and cover for the Commercial Waste Service as required during peak times and holiday periods.
4. Triage a range of cases and monitor officer responses to ensure corporate deadlines are adhered to.
5. Manage graffiti reports including administrating and monitoring the consent process for private properties.
About the role
You will be working predominantly within the Richmond team based mainly out of the Civic Centre in Twickenham. You may also be involved remotely with some Wandsworth projects. This is a fast-paced and evolving service area which can offer exciting development opportunities for the right candidate.
You will be responsible for providing admin support to the Councils Waste and Street Cleansing team, triaging cases and acting as a first point of contact for enquiries and complaints across a range of subjects within the service area. You will keep records to allow you to monitor officer responses to ensure that SLA’s are met, as well as keeping accurate records for KPI and SLA performance monitoring.
In addition to the above, the post holders will:
1. Develop and maintain datasets including graffiti consent records, event litter bin hire, gully cleansing, and Formal Complaint responses.
2. Liaise with relevant stakeholders across all levels as required.
3. Attend meetings and take minutes as required.
4. Manage stationary stock and responsibility for ordering items.
5. Plan and prioritise your own workload.
Essential Qualifications, Skills and Experience
1. IT Skills: You will have practical knowledge of a range of IT software and programs, to assist with maintaining large datasets and detailed record keeping.
2. Customer Service: You will have experience of working with the public in a customer-facing environment.
3. Collaborative working: You will be working with contractors and stakeholders to improve service outcomes.
4. Finance Systems: You should hold experience of financial systems including taking payments, raising PO’s, and GRN’s.
5. Communication Skills: You should have excellent written and verbal communication skills.
6. Time management skills: You will be responsible for monitoring responses whilst meeting tight deadlines.
