We partner with Arup to support contingent recruitment processes. On behalf of Arup, we are looking for a Team Coordinator for a contract until 31st December 2025 based in Cardiff, hybrid working, 2-3 days per week in the office.
About the Opportunity:
A new opening for an experienced Team Coordinator in our Cardiff office. This role is crucial in providing robust and proactive support to our Cardiff Transport Team. As a Team Coordinator, you will work closely with team members and leaders to ensure comprehensive support across all functions.
This critical role demands a high level of initiative, self-awareness, and the ability to influence others effectively. Exceptional communication, planning, and organizational skills are essential. As a pivotal support role within a dynamic team, your contributions will significantly enhance team operations and client interactions, driving overall success and efficiency.
In this role you will:
Support the team in project administrative activities according to client requirements involves handling both high-profile projects and routine tasks. This includes managing workload spreadsheets, collecting financial data to assist with invoicing, and ensuring the project team adheres to internal procedures.
Assist teams in promoting projects involves leveraging social media platforms in collaboration with the marketing team. This includes creating and sharing engaging content, monitoring social media channels for feedback, and implementing strategies to enhance project visibility and reach.
Be responsible for a variety of tasks, including producing high-quality documents that align with the Arup brand standards. This involves proofreading content to ensure consistency and style, editing and suggesting improvements for text and presentations, and creating initial drafts of PowerPoint presentations when needed.
Manage team holiday, absence administration and identifying welfare activities which arise from staff changes.
Take ownership of organising social and staff events and working in collaboration with the business development and marketing team on client events.
Assist with recruitment as required, working with our internal resourcing team to schedule interviews with candidates, adhering to data privacy rules (GDPR) at all times.
Provide comprehensive support to team members and leaders in managing their diaries. This includes proactively gathering necessary details, booking meeting rooms, and coordinating with relevant teams to arrange audiovisual (AV) requirements and refreshments.
Attend meetings as requested and meticulously taking minutes, capturing key actions and decisions. Proactively following up to ensure that all actions are completed in a timely manner, thereby supporting the team's efficiency and accountability.Essential Skills and Qualifications:
A professional qualification or membership, with a recognised administrative professional organisation, or a desire to achieve this, would be desirable.
Demonstrate solid experience in a similar role, ideally in professional services, multi-disciplinary environment.
Be an excellent communicator, both written and verbal.
Excellent at building relationships and partnering with internal clients e.g listening, challenging and influencing.
Be experienced in standard office administrative procedures.
Demonstrate sound knowledge of Microsoft packages, including solid PowerPoint skills and ideally SharePoint.
