Working Monday to Friday (37 hours) with paid overtime, DCA Design International is looking for a 'hands-on' facilities manager to lead the facilities team at our offices in Warwick. We are based across 5 buildings in Warwick town centre, and the successful applicant will work with the facilities assistant daily and closely with the on-site health and safety and HR managers.
The successful applicant will have some formal qualifications, a full UK driving licence, and preferably NEBOSH certification.
Duties and responsibilities include:
1. Act as the primary key holder for our premises in Warwick, requiring availability for out-of-hours attendance in case of intruder/fire alarms.
2. Source and purchase furniture and fittings in line with DCA's brand values and guidelines, with approval from Directors.
3. Prepare detailed annual budgets, provide monthly updates, and quarterly budget reports. Monitor and control expenditure within approved budgets, reporting to the Board as required, including at monthly meetings.
4. Implement and maintain a preferred suppliers list, ensuring contractors have appropriate insurances and health and safety policies. Induct contractors on first day of work and review procedures regularly.
5. Source quotations from contractors, architects, designers, and suppliers, negotiating for value and quality. Commission works after approval by the DCA Board.
6. Ensure contractors provide method statements and risk assessments, liaising with the Health and Safety Manager for adequacy before work begins.
7. Manage all facilities-related projects, from minor refurbishments to major building programs, from initiation to completion.
8. Monitor building wear and tear, propose new projects or repairs, and conduct regular building audits. Maintain a log of issues.
9. Proactively manage the Facilities Assistant, ensuring a schedule of tasks is maintained, and prioritize ad hoc tasks as needed, balancing team workload with project and client needs.
10. Understand utility arrangements across all premises, review utility contracts annually for service quality and value.
11. Be aware of and review asbestos-containing materials annually.
12. Contribute to internal risk assessments related to buildings and facilities, in collaboration with the Health and Safety Manager.
13. Liaise with the IT team on projects affecting IT infrastructure.
14. Coordinate with the Health and Safety Manager on related issues and complete necessary actions.
15. Perform or assist with other facilities-related tasks as needed.
16. Contribute to the induction of new staff and provide refresher training.
Experience managing and renovating listed buildings would be advantageous.
