Purpose and impact
The People Shared Services Manager plays a pivotal role in ensuring the seamless delivery of all centralised HR services, including but not limited to, Talent Acquisition, Employee Relations, Pay & Benefits Administration, Systems Management and Reporting, as well as Policy and Process Development.
This role is focused on driving operational excellence, implementing ‘best in class’ practices to enhance stakeholder experience, while fostering a culture of continuous improvement and transformation across HR services.
Part of the team
The role reports directly to the Director for People and is currently responsible for a small team of People Support Administrators. It is likely that the role will also absorb responsibility for the Learning and Development Co-ordinators in future.
There will be close working relationships with the People & Culture Partner, with both roles working hand in hand to ensure the smooth and effective delivery of the People priorities across the organisation.
The role will work closely with all people managers and peers to deliver an effective, efficient and forward-focused service. The role will require some ad hoc travel to our local retail stores and hospice.
Core Responsibilities
HR Service & Systems
* Deliver an exceptional expert service to stakeholders, acting as the subject matter expert for the entire employee lifecycle.
* Embed, administer and continually develop all HR related systems, maximising usage and driving organisational effectiveness.
* Support the data requirement for payroll, helping to streamline processes and drive efficiency.
* Continuously assess and optimise HR processes and workflows to improve efficiency and ensure consistency in service delivery.
* Manage the digital deployment of all ‘People’ related paperwork, including contracts, offers and letters.
* Manage and oversee the organisational people chart and headcount budgets.
Talent Management
* Oversee the attraction, development and retention of high performing people who are motivated to provide excellent care and service for our patients and their families.
* Building our Brand with the development of our Career Site and other People related content.
* Manage and develop the recruitment process, fully utilising systems, creating support resources and providing manager guidance, to improve candidate experience and increase application interest.
* Develop a ‘best in class’ onboarding and induction process that supports employees to become part of KHH from day 1.
* Develop ‘best in class’ performance management processes through our HRIS that drive operational effectiveness and talent development.
* Work in partnership with the People & Culture Partner to identify top performing talent, to enable effective development and succession planning.
* Design and implement effective offboarding processes to capture key trends and feedback to drive continuous improvement and increase retention.
Policy Development
* Be the subject matter expert, ensuring the continuous development of our policies and procedures, in line with legislation, best practice and our Culture and Values.
* Manage and develop a high performing team through coaching and mentoring to ensure high levels of engagement and productivity.
* Empower your team to deliver a ‘best in class’ service to all stakeholders for all people related activity.
Employee Relations
* With the support of our external helpline, act as the primary point of contact for all Employee Relations queries, providing professional and pragmatic advice and support to managers and employees in a timely manner.
* Support with the production of professional Employee Relations documentation.
* Attend and participate in Employee Relations meetings, including the Staff and Support Services forum and other related committees.
* Coach and develop people managers to build and maintain excellent employee relations with their teams.
Culture, Benefits & EDI
* Promote a healthy working environment, organising and embedding health and wellbeing initiatives for the organisation.
* Drive a positive and proactive culture within the organisation, developing new strategies for continuous improvement and engagement, in line with our values and behaviours framework.
* Demonstrate Equality, Diversity and Inclusion into all People Services activities to support an inclusive culture at KHH.
* Manage organisational benefits (including reward and recognition initiatives), maximising uptake and simplifying administration.
Reporting & Analytics
* Develop automatic People reports, to illustrate organisational performance and inform decision making.
* Prepare and analyse People reports, providing organisational insight into key trends and patterns, as well as People Strategy performance.
Compliance & Committee
* Maintain all People related storage systems e.g. personnel files, volunteer records, ensuring compliance with GDPR and other legislation and regulation.
* Prepare reports for organisational People committees and forums.
Other
* Project management and supporting projects will be a key part of this role.
* This list is not exhaustive as the role will continue to evolve with the organisational needs.
Skills and experience
What are we looking for?
Willingness to:
* Travel occasionally to our other local sites to support managers and employees, using own vehicle
Need to have:
* CIPD Level 7 or Equivalent or working towards
* Experience in a similar centralised or generalist HR role
* Experience of managing and developing HR systems (HRIS) and business reporting. Implementation experiences desirable.
* Employee relations advisory experience up to appeal stage
* Experience of payroll and benefits administration desirable
* Access to own vehicle for occasional travel
* Experience of operating all Microsoft packages confidently, including teams, forms and spreadsheets
