Personal Assistant to SMT Ontic, a leading licensor and manufacturer of complex engineering parts for the global aerospace and defence industries, are recruiting for a Personal Assistant to the senior management team. Role Summary: This position offers a blend between general PA duties and office / event management support to the VP & General Manager and wider senior leadership team in the UK. To be successful, you will need to be proactive, motivated, and highly organised and have excellent communication skills. Key responsibilities include: Provide PA support to SMT including diary and inbox management, travel bookings, administrative support, calendar management, meeting room facilitation (teams, conference rooms, lunch, meet & greet visitors) Arrange and coordinate Senior Management Team offsite and on-site meetings as required. Booking venues, communication, invites and catering. Maintain SMT calendar. Manage office supplies/stationery inventory and place orders as necessary and upkeep stationery cupboards. Ensure visitors are directed to the correct departments and answer any direct phone calls as required. Receive and sort incoming mail and deliveries, with support from facilities team. Assist with office layout planning/office moves, and ensuring communications are shared and appropriate stakeholders involved. Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports. Chair Committees to Plan, coordinate and facilitate employee wide events. Setting up committees as required. (Xmas/Summer event) Provide support with the administration of fleet/pool cars and contracts, liaise with providers. Ensure admin in place for MOT’s/Tax disc/logbooks and parking fines. Desirable Knowledge, Skills and Competences: 3-5 years of work experience in an PA / office management role Professional communicator with the ability to adapt approach to different stakeholders Excellent organisational skills and ability to help prioritise workload Able to adapt to changing priorities and workload while remaining focused on core tasks and attention to detail Ability to work on own initiative, demonstrating self-motivation, proactivity and resourcefulness when seeking solutions. Comfortable working with senior leaders internally and externally. Microsoft Office experience including MS Teams/ SharePoint/ Office 365 Highly competent in PowerPoint, Word and Excel and a high degree of computer literacy. Experienced minute taker and ability to write formal meeting minutes Ability to keep good records – paperwork, filing, keeping diaries and dealing with incoming mail to make sure everything goes to the right place.
