We are working with a prestigious London law firm based in the heart of the city, they specialise in providing top-tier legal services to high-net-worth individuals, businesses, and leading brands in a variety of sectors. Their newly established Arts & Luxury Team focuses on advising clients in the arts, fashion, luxury goods, and cultural industries. This team is set to grow rapidly, and they are seeking a highly skilled and proactive Legal Secretary to support the team’s busy workload.

Position Overview:

As the first point of contact for the team, you will be integral in ensuring smooth administrative support and operational efficiency. The role demands someone with at least 4 years of experience as a legal secretary, who is detail-oriented, organised, and proactive. You will have the opportunity to work with high-profile clients in exciting, fast-paced sectors, while working closely with senior fee earners on complex and high-value matters.

Key Responsibilities:

\n\t
* Administrative Support:\n\n\t
\n\t\t
o Provide comprehensive secretarial and administrative support to the Arts & Luxury team, including scheduling, travel arrangements, and document management.
\n\t\t
o Prepare and format legal documents, correspondence, and reports, ensuring high levels of accuracy and attention to detail.
\n\t\t
o Maintain and organise filing systems, both physical and electronic, ensuring that all documents are easily accessible and compliant with firm policies.
\n\t
\n\t
\n\t
* Client Interaction:\n\t
\n\t\t
o Act as the first point of contact for clients, managing communication effectively, and maintaining professional relationships.
\n\t\t
o Coordinate meetings and events, including liaising with clients, external contacts, and other departments.
\n\t\t
o Help prepare for client meetings by assembling materials, agendas, and relevant documents.
\n\t
\n\t
\n\t
* Billing & Time Management:\n\t
\n\t\t
o Assist with time recording and billing processes, ensuring accuracy and deadlines are met.
\n\t\t
o Liaise with the finance department to ensure proper processing of invoices and payments.
\n\t
\n\t
\n\t
* Team Collaboration:\n\t
\n\t\t
o Work closely with fee earners and other secretarial staff to ensure all tasks are completed efficiently and effectively.
\n\t\t
o Support the team with ad-hoc tasks and projects as required, including assisting with legal research, presentations, and marketing activities.
\n\t

Qualifications and Skills:
\n\n
\n\t
* At least 4 years of experience as a legal secretary, ideally within a law firm.
\n\t
* Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal document management systems.
\n\t
* Excellent organisational skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
\n\t
* Strong attention to detail and ability to produce high-quality, error-free work.
\n\t
* Outstanding written and verbal communication skills, with a professional telephone manner.
\n\t
* A proactive and flexible approach, with the ability to work independently and as part of a team.
\n\t
* A strong interest in arts, luxury, and cultural industries would be an advantage.
