Allgreen, a leader in luxury artisan stone cutting and landscaping, is recruiting for a proactive and organized Sales Administrator to be the first point of contact for customer inquiries, primarily handling website enquiries and incoming phone calls. This role is essential in ensuring a smooth customer journey by responding to queries efficiently, processing orders, and supporting the sales team. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
About the Company: Allgreen curate, shape and recommend a luxury range of stone products for gardens, homes and parks, including HNW customers and heritage estates. We work with the UK’s top landscape designers and contractors, having recently supplied multiple award winning show gardens at this year’s RHS Chelsea Flower Show.
We are a family business and value working collaboratively with every member of our team. The company is growing rapidly and is seeking to develop and refine its Sales & Marketing team to complement the expertise and passion of its founders and directors. This role will report to the Sales Manager.
Primary Responsibilities:
1. Handling website enquiries and incoming phone calls: Acting as the first point of contact for customers, responding promptly to all website enquiries and answering calls in a professional and helpful manner. Providing information, resolving initial concerns, and ensuring a positive customer experience.
2. Processing quotations and orders: Preparing and sending quotations to customers, ensuring all details are accurate. Processing stock orders efficiently and managing them through to completion.
3. Following up on quotes and tracking orders: Proactively following up with customers on outstanding quotes to increase conversion rates. Keeping customers updated on lead times, order statuses, and expected delivery schedules.
4. Coordinating with internal teams: Working closely with sales, logistics, and accounts teams to ensure smooth order processing and customer satisfaction. Liaising with logistics to track shipments and resolve delivery issues promptly.
5. Utilising CRM: Maintaining accurate records of customer interactions, quotes, and orders using Pipedrive (or another CRM system). Ensuring all sales data is up to date and assisting with reporting where necessary.
6. Providing product information and support: Developing a strong understanding of the full product range, including bespoke options and lead times. Offering accurate and informed responses to customer queries.
Secondary Responsibilities:
1. Providing administrative support to the sales team: Assisting sales team members with general administrative tasks, including preparing documents, scheduling meetings, and organizing files to ensure efficient day-to-day operations.
2. General office administration: Handling filing, document management, and scheduling tasks to maintain an organized and efficient workspace.
3. Supporting the sample team: Assisting with sample requests and coordinating the preparation and dispatch of product samples when required.
4. Assisting with reporting and data entry: Helping to generate reports, input data, and ensure accurate documentation of sales and customer records.
Key Skills & Qualifications:
* Previous experience in sales administration, customer service, or order processing is preferred.
* Strong communication skills, both verbal and written, with a professional and friendly approach.
* Excellent phone etiquette with the ability to handle inbound and outbound calls confidently, professionally, and efficiently.
* Exceptional customer service skills, with the ability to build rapport and resolve queries effectively.
* Excellent organizational skills with the ability to multitask and prioritize workloads effectively.
* High attention to detail and accuracy in processing orders, data entry, and documentation.
* Proficiency in CRM systems such as Pipedrive, along with Microsoft Office (Excel, Outlook, Word).
* Ability to work proactively, problem-solve, and take initiative in a fast-paced environment.
* Team player mindset, able to collaborate effectively with colleagues across different departments.
