The Role
An opportunity has arisen for a Workflow Coordinator who is looking to join us and become an integral part of ensuring the delivery of a successful business support service. As a Workflow Coordinator you will work closely with the Business Support Manager to ensure we meet our SLAs and optimise our performance, meeting expectations by providing an exceptional service to the firm.
Core duties and responsibilities although not limited to:
You will ideally have a background within the legal sector and an understanding of various disciplines is desirable.
You have demonstrated that you have excellent people skills with a proven track record of training and mentoring people to ensure effective working strategies to achieve optimum workflow.
1. Prioritise work requests across the team and coordinate/balance multiple projects
2. Act as the lead for all questions relating to document production, proofreading and quality assurance by the team.
3. Identify and correct errors in complex business documents to ensure quality of the product being returned to requesters.
4. Delivering an exceptional electronic file management service
5. Return or add documents to existing client files
6. Log and record documents within a case management system (Visual Files)
7. Handle and administer closed files as requested
8. Filing and file housekeeping, including Archiving.
9. Understanding and processing of principle documents
10. Maintain all filing and work areas in a tidy and orderly manner
11. Prioritise jobs and run them to meet customer requirements and deadlines
12. Ensure that job requests are tracked on system properly before beginning new request
13. Understand and comply with Practice Support standards and constantly seek ways to improve operations and suggest and implement approved ideas
14. Able to analyse and manipulate data using Excel
15. Deal with any enquiries in a prompt and efficient manner
16. Accept requests for work, notifying customers of estimated completion time as appropriate and in line with service level agreements
17. Communicate effectively in relation to deadline issues
Person specification:
1. Proofreading experience preferably in a legal environment
2. Intermediate knowledge of MS Word, Excel, and PowerPoint desired
3. Knowledge of work tracking is preferred
4. Ability to work in a fast-paced and demanding team environment
5. Strong attention to detail with emphasis on accuracy and quality
6. Ability to prioritize work to balance multiple projects and deadlines
7. Must have good organisational skills
8. Ability to handle sensitive and/or confidential documents and information
9. Ability to work both independently and collaboratively as part of a team
10. Excellent verbal and written communication skills.
11. Ability to communicate professionally both verbally and in writing
12. Must be self-motivated with a positive attitude
