Private Family Personal Assistant to Director
We are seeking an experienced, organised, and resourceful Personal Assistant to support a high-net-worth family. This role involves managing a variety of personal and household tasks on behalf of the principal. The role requires exceptional multitasking skills, discretion, and the ability to anticipate needs in a fast-paced environment. The ideal candidate will be highly flexible, proactive, and able to travel as needed.
Position Overview:
The Personal Assistant will provide comprehensive support to ensure the smooth operation of the Director's personal, household, and logistical needs. This temporary role, requiring three days a week, includes diary management, travel coordination, household administration, and vehicle logistics. It is a huge benefit if the candidate speaks Italian, as it will aid in communication with various contacts.
Key Responsibilities:
1. Diary and Event Management
o Collaborate with key stakeholders (e.g., Chief of Staff) to maintain an accurate and detailed calendar.
o Integrate children’s schedules, including school terms, extracurricular activities, and events.
o Coordinate personal and medical appointments, ensuring all paperwork (e.g., insurance forms) is prepared.
o Track important dates, arranging gifts and celebrations for special occasions.
2. Travel Coordination
o Arrange all family travel, including flights, accommodation, transfers, and hire cars.
o Ensure all travel documentation is in order, including passports, visas, and international permissions.
o Liaise with drivers, boat captains, and other service providers to finalise travel details.
3. Household Management
o Work closely with household staff (e.g., housekeepers, chefs) to ensure smooth day-to-day operations.
o Manage maintenance, cleaning, and service schedules for household needs.
4. Vehicle and Asset Management
o Manage the maintenance, insurance, and provisioning of all vehicles.
o Schedule repairs, services, and MOTs for all vehicle fleet.
o Manage vehicle insurance, liaising with brokers to negotiate the best terms.
o Handle toll systems (e.g., TFL and Dart Charge), insurance claims, and legal documentation (e.g., V5C).
o Oversee the sale, purchase, and registration of vehicles, including number plate changes.
5. Logistics and Team Support (iKART)
o Plan and coordinate logistics for the Director’s son’s karting events across Europe, including travel, accommodation, motorhome movement and schedules.
o Liaise with team members to ensure diaries and plans are up to date.
6. Personal Support
o Assist in the coordination of personal events, including planning and administrative support.
Requirements:
* Proven experience as a Personal Assistant, ideally supporting high-net-worth individuals or families.
* Exceptional organisational and multitasking skills with acute attention to detail.
* Strong communication and interpersonal abilities.
* Discretion and ability to maintain strict confidentiality.
* Competency in diary management, travel coordination, and stakeholder liaison.
* Self-starter who likes to hit the ground running, shows strong initiative and work ethic.
* Proficiency in handling household and vehicle logistics.
* Flexibility to travel and adapt to changing priorities.
This position is part-time, requiring three days a week, with potential for additional hours and occasional travel. The ideal candidate will thrive in a constantly evolving environment and be eager to provide exceptional support.
