Job Opportunity: Contract Administrator \n Location: Loanhead, Edinburgh.\n Salary: £26,500 - £28,000 (depending on experience, negotiable) \n Reporting to: Administration Manager \n Contract Type: Full-time, Permanent \n\n A leading facilities management provider is seeking a reliable and organised Contract Administrator to join its team. This role is essential in supporting the operational team to ensure smooth and efficient delivery of FM contracts. The ideal candidate will be detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment.
\n\nKey Responsibilities:\n\nLiaise with the helpdesk team to log and monitor work orders in line with SLAs\n\nAllocate and schedule reactive and planned maintenance tasks to engineers or subcontractors\n\nMonitor dashboards (e.g. Maximo, Power BI) and highlight risks or SLA issues\n\nCoordinate site access for subcontractors and in-house teams\n\nEnsure work orders are accurately closed with appropriate documentation\n\nMaintain and update statutory compliance records and contract files\n\nProvide weekly reports on open work orders, PPM status, and reactive maintenance\n\nAssist with documentation, including monthly reports, trackers, letters, and memos\n\nSupport small works quotations and other project-related admin tasks\n\nWork with operational teams to develop and map contract processes\n\nRequirements:\n\nPrevious experience in a similar administrative role (FM experience desirable)\n\nAwareness of health and safety legislation\n\nStrong customer service and communication skills\n\nExcellent time management and organisational abilities\n\nConfident using Microsoft Office (Word, Excel, Visio, Project)\n\nHigh attention to detail and ability to present data clearlyResourcing Group is acting as an Employment Agency in relation to this vacancy
