As Service & Small Works Administrator you will be responsible for: Quoting Prepare and issue accurate quotes for remedial work and small works projects based on site inspections, reports, and client requests. Liaise with the service desk, service technicians, project managers, and small works teams to gather necessary details for quoting. Use internal & external pricing to calculate material, labour, and subcontractor costs. Ensure quotes are competitive while maintaining profitability and compliance with company standards. Follow up on quotes with clients and service teams to secure approvals and schedule work. Administrative Support: Maintain an organized database of all quotes, approvals, and revisions. Update internal systems with job details, costs, and customer information. Assist in processing work orders and coordinating remedial projects and small works once quotes are approved. Support procurement activities by assisting in ordering materials and coordinating with suppliers. Customer, Service Desk & Vendor Communication: Act as a point of contact for customers regarding remedial quotes, small works estimates, and job status. Work closely with the service desk to track and manage remedial job requests. Coordinate with suppliers and subcontractors to obtain pricing and availability. Provide clients with detailed breakdowns of quotes and answer any related inquiries. Reporting & Compliance: Generate reports on quoted vs. approved jobs, small works profitability, and job completion timelines. Ensure all quotes align with company policies, safety regulations, and industry standards. Assist in invoicing and billing by providing accurate cost details for completed remedial work and small projects. This role can be based out of our Glasgow or Newcastle office For development purposes the following knowledge, skills and experience are required. Required Qualifications & Skills: Education: High school diploma or equivalent (Bachelor’s degree in business, construction management, or related field is a plus). Experience: 1-3 years in administration, quoting, estimating, or procurement, preferably in remedial services, small works, construction, or facilities management. Strong numerical and analytical skills with a detail-oriented mindset. Proficiency in Microsoft Office (Excel, Word, Outlook) and quoting/CRM software. Excellent written and verbal communication skills. Ability to multitask and work under deadlines. Strong customer service and negotiation skills. Preferred Qualifications: Experience in quoting within a service department, maintenance, remedial repair, or small works industry. Familiarity with job costing, procurement, and scheduling processes.
