About the Role:
We are seeking an enthusiastic and highly organised Event Assistant to support the planning and delivery of our global events portfolio. These include dinners, conferences, roundtables, awards ceremonies, and other in-person events. You will play a key administrative and logistical role in ensuring the seamless execution of events in a dynamic and fast-paced environment.
This is a hybrid role based in London, with three days per week in our office and two days working remotely.
Key Responsibilities:
* Plan and deliver end-to-end logistics for dinners, roundtables, and networking events
* Prepare and manage individual event budgets and reforecasts, ensuring events are delivered within budget and communicating regularly with your manager
* Coordinate the production of event materials and ensure brand consistency across all events and collaborate cross-departmentally to establish timelines and ensure smooth project delivery
* Act as the primary point of contact for sponsor and internal event-related queries, maintaining professional and timely communication
* Source, liaise with, and negotiate terms with venues and suppliers to secure quality services at competitive rates
* Arrange departmental travel, booking cost-effective flights and accommodation within budget constraints
* Support CRM system maintenance (Microsoft Dynamics), ensuring accurate and up-to-date event records
* Manage the team’s shared email inbox, responding to incoming queries efficiently and provide general administrative support to the events team as needed
* Oversee award ceremony seating arrangements, ensuring tables are accurately and fully allocated and provide on-site support at all London-based events to assist in smooth event operations
* Prepare and distribute event badges, ensuring accuracy and timely delivery and organise couriers for the timely delivery and return of UK event materials
* Collect and analyse post-event feedback to support continuous improvement
Requirements:
* Experience working in a fast-paced environment, an events-related role or an industry such as recruitment would be great
* Strong interest in events management and a proactive attitude.
* Adaptable, flexible, and a motivated team player
* Excellent verbal and written communication skills
* Highly organised with strong multi-tasking and prioritisation abilities
* Outstanding customer service and interpersonal skills
