The Role
We are currently looking for a Junior PA to join our team.
The successful candidate will work for the Howden Group’s UK-based broking operations. Howden Group is a global firm delivering a range of insurance and reinsurance solutions developed around specialist insurance lines. The role supports the Chief Compliance Officer and Head of Risk on a temporary basis from our London office.
Key Responsibilities:
1. Determine own work priorities and activities to deliver agreed objectives
2. Handle assigned projects and contribute to other projects as required
3. Actively undertake personal development and complete all required regulatory training
4. Assist with diary management
5. Provide meeting support: issuing invitations, booking rooms, preparing and circulating associated documentation, taking and circulating minutes and following up on actions.
6. Produce a variety of documentation using appropriate software packages, including reports, presentations, letters and spreadsheets. Review final documentation for completeness, accuracy, quality, corporate style and format
7. Organise local and occasional international travel
8. Process invoices and check and reconcile expenses for their managers
9. Assist with performance management and similar processes
10. Organise and schedule training and assist with the set-up, recording of attendance and collation of feedback
11. General administration duties including binding training/presentation packs, printing, answering phones and taking messages
12. Build and maintain positive relationships with internal and external contacts to ensure service delivery best meets expectations
13. Provide support and assistance to colleagues and to their clients ensuring work activities are carried out efficiently and timescales are met
14. Provide the highest levels of service to clients to promote a positive image of the Company at all times
Skills & Attributes:
15. Confident and has excellent communication skills including written, verbal and face to face
16. Computer literate with the ability to work independently and use initiative
17. Organised, with good planning/time management skills.
18. Ability to work under pressure and manage multiple people’s requests
19. Attention to detail with flexibility and a desire to achieve/work to tight deadlines/targets
20. Able to positively react to change
21. Resilient and calm under pressure
Experience/qualifications
22. Experience of working within an office environment (in an operations/administrative role), preferably in a service led environment.
23. Knowledge of the following systems required: Microsoft Outlook, Teams, Word, Excel and Powerpoint
24. GCSE Maths and English (or equivalent)
