Role description
The Centralised Operations Team operates across student and residential brands within Vita Group, with the predominate focus on Vita Student reporting directly to the Head of Centralised Operations. The role of the Operations Administrator is fundamental in supporting the everyday operations of our company, providing dedicated support to the Operations team and the wider business.
The Operations Administrator will be responsible for a multitude of tasks, and the ideal candidate will be able to demonstrate a diligent and enthusiastic approach to their work. We are looking for a confident individual that thrives in a fast-paced environment, is pro-active with their work-load and is self-motivated and highly organised. As the point of contact for the Centralised Operations team within Head Office, the ideal candidate will build key relationships across departments.
Key Responsibilities
* Co-ordinate day-to-day operational tasks, ensuring smooth workflows and efficient processes.
* Oversee the creation and maintenance of operational documentation, ensuring accuracy and accessibility.
* Facilitate communication between different departments to ensure alignment on operational goals and strategies.
* Monitor operational performance metrics, analyse data and provide insights for continuous improvement.
* Managing multiple inboxes and distribution groups, facilitating responses and/or forwarding communications to the appropriate department/person.
* Ensuring compliance with local government licensing schemes, processing applications and renewals.
* Create and manage purchase orders, ensuring accuracy and adherence to company policies.
* Facilitate project management by providing research and compiling data.
* Diary scheduling and management to balance commitments across the Centralised Operations team.
* Creation and submission of monthly and quarterly reports for our Institutional Partners and Business Owners in line with requirements.
* Co-ordinate the tracking of Health & Safety reports for all incidents, outages and accidents including liaising with the teams on the ground and reporting to our Insurance Company as and when required.
* Co-ordinate the annual order for site replacements for the teams on the grounds, including liaising with external suppliers to obtain the best quote, organising the deliveries with the sites teams, coordinating purchase orders and payments, as well as handling any disputes.
* Performing ad-hoc duties as and when required.
Skills
The ideal candidate will have a pro-active approach to providing administrative and organisational support, with the ability to work using their initiative. We are looking for a candidate with the ability to undertake a wide range and variety of tasks with conflicting deadlines, they must be self-sufficient with the confidence and ability to manage their workload to ensure that day-to-day tasks are completed while adapting to the ever-evolving priorities and changing operational needs.
We're looking for a highly self-sufficient individual who excels at working independently with minimal supervision. Someone who is proactive in managing their workload, not just waiting for tasks to be assigned but also capable of actively identifying what needs to be done and taking the initiative to do so. With strong prioritisation skills, the ideal candidate can handle multiple incoming tasks with ease, consistently getting the job done efficiently and on time.
Proficiency in all Microsoft Office programmes is required with advanced understanding of Microsoft Excel desirable.

This role is based at the company’s headquarters in Alderley Edge.
Hours
40 hours per week Monday to Friday (with flexible start time between 8am and 10am)
