This is 100% office Based role Based in Perivale and the hours are 9.00 to 5.30 The salary is really dependent on your skills and level of experience and if you have worked for a business centre then they will pay the higher end KEY OBJECTIVES · To provide a professional front-line reception service to all tenants and prospective users To carry out all administrative and customer service duties required by the Business Centre Supervisor in the daily management DUTIES AND RESPONSIBILITIES (a) To provide a first point of contact for tenants and users of the Business Centre’s facilities - ensuring that all on site visitors are recorded and issued with appropriate health and safety advice while on site (b) To operate the telephone switchboard, ensuring that calls are handled quickly and efficiently, dealt with at the initial point of contact if possible, or quickly referred to another officer if appropriate (c) To provide a call handling, mail sorting and reception service for tenants and Centre users (d) To raise purchase orders and invoices as required by the Business Centre Supervisor (e) To provide administrative support to tenants and users as requested, in accordance with a published portfolio of support services (f) To deal with all enquiries relating to the booking of meeting rooms - including the preparation, set up and cleaning up following each appointment. (g) To ensure all filing systems are kept up to date with all accurate and relevant information in accordance with relevant legislation, corporate policies and documented Business Centre procedures. (h) To support the promotion of the Business Centres to a wide range of potential users, in accordance with agreed marketing plans. Provide prospective users of the Centre with a tour of the facilities and clear explanation of all support services available. (i) To maintain and update all relevant literature and procedures for resident tenants and other prospective users, including updating business centre and corporate websites with all relevant information. (j) To ensure the provision of a safe working environment for all staff, users and visitors to the Business Centres, in accordance with relevant legislation and advice from qualified health and safety professionals. Knowledge and Skills Ability to work collaboratively as part of a team which includes both internal and external stakeholders; Knowledge of all corporate policies and legislation relevant to management of Business Centres; Good customer service and administrative skills; Ability and commitment to work unsupervised as required and maintain professional conduct and service standards at all times. Mental Skills The work requires creative skills for solving straightforward problems to maintain a professional front-line reception and customer service for all Centre users; About You We’re looking for someone who knows how to manage multiple tasks while providing customers with the best possible service.
