To support the effective contractual management of a portfolio of Black Country Acute providers with the direction from Contracts Managers. Monitoring and report the progress of the financial, activity quality aspects of contracts and associated workstreams, tracking of milestones, KPIs and reporting of key risks. Support operational, managerial and corporate colleagues in the management of their contracts and act as a centre of excellence on SLA-related topics. Assist in the development and construction of robust contracts such as NHS subcontracts, provider to provider subcontracts, provider agreements and memorandum of understandings. Ensure effective engagement and working relationships with Commissioner and Provider representatives to ensure performance monitoring of contracts is undertaken and recorded in line with appropriate regulations and frameworks. Prepare and collate the information required for regular contract performance meetings and reports highlighting areas of risk and concern, including outcomes data. Support Contracts Managers across a wide range of internal / external meetings and working groups. Provide effective administration cover and flexible support to the wider contracting team, including maintenance of office processes and protocols and develop maintain the contracts database. Take responsibility for the efficient organisation and maintenance of a centralised computer-based filing system for all Trust contracts. Support the administration of the contract database and facilitate and track the issue of contracts for signing. Ensure the integrity of the Contracting Team by maintaining a professional manner and ensure all contacts with internal and external stakeholders are in a professional and welcoming manner. Develop a good working knowledge of contracts held by the Trust and sources of information to be able to respond to queries where required. Undertake specific project management work to assist in the delivery of key objectives and work strategies. COMMUNICATION Communication will take place in a number of forms (e.g. reports, e-mails, meetings, workshops, presentations and telephone calls). Maintain position of professionalism, integrity, sensitivity whilst appreciating the need for strict confidentiality. The level of the sensitivity, complexity and importance of the information being communicated will vary, from communicating the compliance with contract targets and the impact on the overall strategic objectives to arranging meetings. Communicate with senior colleagues with clarity and confidence around progress, issues, plan progress etc. Communication will take place with various stakeholders: - Internal staff contracting team - Members of Contracting and Commissioning Forum - Clinical Leads - Operational leads and service managers - Finance and Information managers ANALYTICAL AND JUDGEMENT SKILLS Analytical approach to problem solving. Analytical capability to identify significant changes/omissions/trends. Requirement to use own initiative. PLANNING AND ORGANISATIONAL SKILLS Will be required to plan, organise activities (e.g. information and report submissions to the Contracts Manager, Head of Contacting and Deputy Chief Strategy Officer); Organise and co-ordinate meetings and workshops, including selection of venue, provision of materials. RESPONSIBILITY FOR INFORMATION RESOURCES Responsible for maintaining manuals and electronic systems used by the contracting team. Required to use IT to develop and create documents and reports. Required to take and transcribe formal meeting minutes. Advanced keyboard skills.
