Who we’re looking for?
We are looking for a part time Waiting List Co-Ordinator to become a member of a truly collaborative and hardworking team who provide administrative support to the Cardiology Department. This will include scheduling patients for various procedures with the Cath Labs, utilising the treatment areas and nursing resources efficiently. The post holder will work as part of a team providing waiting list management for the Medical Directorate. This role relies on close working relationships between Consultants, Secretaries, Ward Staff and patients.

• To facilitate the management of day case and Outpatient diagnostic waiting lists ensuring that the lists available are fully utilised. As these lists are subject to change according to the clinical priority, this may involve cancellation and re-arrangement of dates and direct contact with patients to impart this news.
• To independently select patients from waiting lists, ensuring that the available lists are used to their fullest capacity.
• To select patients for Consultant diagnostic lists, as requested by that individual Consultant according to agreed criteria.
• To work closely with Consultants, Secretaries, Technicians to ensure the smooth running of waiting lists and attendance processes.
• To be proficient in the use of PAS and Intellect. This entails ensuring lists are available 6 weeks in advance and patients booked in advance and that clinical priorities, such as infection risks, diabetes, etc., are acknowledged and factored into the list order. This can also include ensuring appropriate equipment is available.
• To deal with telephone queries relating to attendances and information relating to waiting lists. Patients are often anxious, upset, aggressive or angry if a wait is incurred.
• To produce waiting list reports as required by the Operational Manager and Administration Manager.
• Investigate patients who do not attend to establish if they still require investigations and then take appropriate action in line with Trust policy.
• Ensure all procedures relating to waiting lists and deferred patients are adhered to relating to the patient Access Policy and Trust Policies & Procedures on data collection and confidentiality.
• Ensure waiting list information is updated where necessary, this entails ensuring every contact with the patient is documented on the waiting list entry.
