Job Description Company CSR Scientific Training Job Title Enrolment Officer Department Integrated Support Services Reports To Learner Progress Manager Location 1b Mitre Court, Lichfield Road, Sutton Coldfield, B74 2LZ Job Type Full Time (37.5 hours per week) Job Role To contribute to the success of the company in various key areas including Administrative and Support functions, with primary focus on the capture of pertinent, accurate information and management of the systems used for this purpose. The Enrolment Officer plays a key role in facilitating a smooth and efficient enrolment process for learners. You will be responsible for supporting learners and line managers during onboarding, ensuring compliance documentation is managed, and overseeing the entire enrolment workflow. This role requires the highest level of professionalism, attention to detail and the ability to work well within a team. All aspects of their work will need to be delivered to the highest quality without exception and so the ability to plan and organise their work without input from management will be essential. Key Responsibilities Sending welcome emails to learners and line managers, providing clear instructions on the onboarding and enrolment process. Create and send compliance documentation such as Employer Agreements, Apprenticeship Agreements and Training Plans. Ensure accurate and timely submission of all required documentation focusing on sustained compliance with funding rules. Create learner and line manager accounts on systems e.g. OneFile and Aptem. Ensure that all systems are up to date and accurately reflect learner’s status and their personal information. Oversee and manage the entire enrolment process, ensuring it runs smoothly. Coordinate and facilitate enrolment sessions and maintain the enrolment calendar. Monitor and track the completion of enrolments to ensure timelines are met. Maintain and update relevant spreadsheets and systems with up-to-date information. Upload and manage completed documentation within the appropriate systems. Identify any concerns from enrolments, including special educational needs and potential cause for concern, and communicate this to the relevant team. Create and update Group Profiles. Be a supporting officer on the Wellbeing Team (all training will be provided). Support with the invigilation of exams when required. Provide general office duties (answering incoming calls, monitoring helpdesk emails etc.) Essential Attributes Minimum of 5 GCSE’s grades A-C (or equivalent), including Maths and English. Knowledge of Microsoft Office IT programs. Live within a commutable distance of Sutton Coldfield. Previous educational and/or business administration experience. Effective communication skills, time management and teamworking. Excellent attention to detail. Desirable Attributes Previous experience of ensuring compliance with externally set and enforced rules. Knowledge of the Apprenticeship educational sector. Salary : £22,500 to £27,000 per year
