Office Organization: Maintain an efficient filing system, brought forward system, and ensure files are prepared for meetings. Mail Management: Open, record, and distribute incoming mail; handle routine correspondence and draft letters for signature. Communication Facilitation: Liaise with relevant staff to facilitate internal communication and handle telephone calls/enquiries. Typing & Word Processing: Type letters, memos, and minutes; strong proficiency in Microsoft Office and other software required. PowerPoint Presentations: Assist with the creation of presentations for departmental needs. Policy & Report Support: Provide administrative assistance in producing departmental policies and reports. Staff Supervision (if required): Supervise clerical staff and provide guidance as necessary. Stationery Management: Monitor and maintain stock levels of stationery, using stock catalogues and requisitions. Database Management: Update and search client databases (Paris) as needed. Statistical Data Collection: Contribute to the collection and collation of statistical information regularly. Petty Cash Management: Operate and manage a petty cash system in line with Trust policy. Do you have one of the following: A minimum of 5 GCSEs (Grade A-C) to include English Language and Maths or equivalent qualifications or higher standard of education AND 1 year administrative/ clerical experience NVQ Level II Business & Administration or equivalent and 1 year administrative/ clerical experience 3 years administrative / clerical experience. Applicants should also have a Driving license and 6 months experience using Microsoft Office including Outlook, PowerPoint, Excel and Word is also essential.
