K. S. Whittaker Plastering Ltd have been in business for 20 years, providing a high quality finish with both their plastering and external rendering throughout the North West.
Due to their continual growth, they are recruiting a new team member to carry out office administration tasks. This is a new role and so will be constantly evolving and growing, so the Office Administrator will need to be flexible and able to bring their ideas to the role.
On a day to day basis the following areas have been identified as being core to the role.
Respond and log all customer enquiries
Manage a CRM database which lists all customers and where they are at in the process – i.e contacted, priced, won
Set up price books with all suppliers, and ensure the rates we pay are always the most competitive
Check invoices against price books and order sheets
Check statements against all the signed off invoices
Speak to teams each week and manage their material orders
Keep a log of all materials used on each job
Keep a stock list of all bulk buy items and order more when needed
Send out quotations to new customers
Follow up on quotations sent out
Create invoices to the customers
Send google review links out to customers
Create and manage a job sheet for each new job
Seek out advertising opportunities online.
Run the LinkedIn profile and seek out new opportunities
Manage the apprentice grants
Send out marketing emails
Always understand the products we use and be able to market them to customers
Make sure website is always up to date with latest reviews, pictures
Job cost analysis
Fully support the Company Director on the phone
The role will require someone who is confident to be left to create their own day, actively seeking ways in which the company can run more efficiently, and the person must be completely trustworthy and discreet with all the company information.
Knowledge in Quickbooks is ideal but not necessary, experience in Excel is a requirement.
