As a QS, you will manage the reporting of the project financials and assist and direct the Projects Team in driving down costs, and driving up revenue and Gross Profit. Your responsibility is to control costs and increase GP, which may involve challenging the team on specific aspects where cost is being eroded unnecessarily and quality cost is creeping up.
The Projects Department is fast-paced with many projects running at various different stages of progress, so it is important that you are able to prioritise and organise your workload efficiently.
The ability to work in a team is very important, maintaining close relationships with the Projects Managers and working closely on the projects to ensure that the project finances are kept up to date. The Project QS is responsible for managing the submission of variations and receipt of Site Instructions, recognising business opportunities to increase margins wherever possible and ensuring that applications are kept up to date and accurately assessed against site progress.
The business uses an internal ERP system for which training will be provided. However, it is important that you are computer literate and are confident in using Outlook, Word and Excel. A suitable candidate would be confident in verbal and written forms of communication and able to communicate to people both internally and externally in a clear and professional manner.
Main Job Role:
1. Join the sales team in the final negotiation stages to agree payment terms and understand what items of work can be vested.
2. Attend pre-start meetings where necessary.
3. Build relationships with the contractor QS / finance team – understand the key influencers.
Design Stage:
1. Work with internal team and external lawyer where necessary to negotiate contract terms and agree these with the contractor at tender stage or after the contract is awarded.
2. Ensure we are cash positive throughout the project duration.
3. Understand the cost build-up of the project and work with procurement and the Design Team to identify savings and risks.
4. Join Procurement and Design Teams in Procurement Deep Dive meetings to establish areas for gain and concern.
Pre-WIP Meeting Tasks (monthly):
1. Thorough review of project financials with PMs.
2. Update any outstanding VO’s, and chase SI’s if necessary.
3. Review cost to complete in detail for accurate forecast costs for every budget category.
4. Ensure committed cost figure is accurate, and does not contain any items that have actually been delivered to site.
5. Check committed cost includes all items, and add estimated cost to CTC if it doesn’t.
6. Prepare and submit variations and breakdowns and provide detailed rate build-ups where necessary.
7. Work with Contractor QS to obtain agreement to costs throughout the project, ensuring SI’s are received and agreed monthly, and system updated.
8. Understand delay notices, prepare and issue them in accordance with the contract as they occur.
9. Prepare and manage submission of monthly applications and work with PM / DM to ensure we stay cash positive.
10. Attend site at regular intervals to value work complete, identifying potential cost/scope creep.
11. Work with Procurement to ensure deliveries fall ahead of valuation dates.
12. Monitor contract programme versus site progress and support PMs with advising when extension of time is required and associated documentation.
13. Submit final accounts on completion of project ensuring all applicable additional works have been included and costed.
14. Attend final account meetings as necessary and agree account; produce final statement as required.
