The department Our Operations (Client Services team) ensure the smooth running of office life and look after both colleagues and the firm's clients with the same commitment to excellence. Reporting into the Operations Manager, you will be responsible for the management of the Client Services Assistants, optimising their performance and ensuring a highly professional and pro-active facilities service and reception cover is achieved to contribute to the smooth and efficient running of the Ipswich office. Accountabilities Main Accountabilities: Assist with effective liaison, support and assistance between the client services team and the rest of the firm. Ensuring an effective level of communication with staff through team briefings, coaching, objective setting and training. Provide customer support to all departments and assist with any related issues. Book, prepare and clear meeting rooms and organise refreshments as required. Maintain and monitor stationary requirements. Post duties cover, including all incoming and outgoing couriers. Answer the telephone in a professional and timely manner. Ensure the office is presented to a high standard at all times particularly the communal and client facing areas. Ad-hoc duties as required (i.e., going to get milk and provisions) Ensure the appropriate Health & Safety procedures are followed such as the fire procedure and first aid. Assist with general administration tasks. The candidate Proven experience of working in a customer facing environment. Ideally have front of house customer service experience. Ability to manage and supervise a team of colleagues. Experience of handling difficult situations whilst interacting with others (members of public, customers, colleagues). Effective communication and organisational skills. Good understanding and use of Microsoft Office applications. Maintain a motivational and proactive approach at all times. Adaptable to change and new ideas. Flexible to meet business requirements. Excellent planning, time management and organisational skills. Team player, both as a member and a leader. Ability to remain focused and decisive when working to specified targets in a pressured environment.
