About the Role
We have an exciting opportunity to join the Document Management Team as a Documentation Coordinator. In this role, you will co-ordinate document change, creation, and fulfilment across all areas of customer-facing documentation. You'll work with IT and external suppliers to achieve effective scheduling and delivery. You'll provide specialist analysis to support business requirements and wider best practice across a variety of document management activities.
Key Accountabilities:
* Co-ordinates the creation and amendment of all documentation (pre-printed and transactional policy packs, admin letters, and emails etc.)
* Provides advice and best practice guidance to the business on BAU activity and Projects. Ensures time, cost, and quality commitments are met.
* Ensures Brand guidelines and documentation best practice are applied to documentation.
* Safeguards Digital and Contact Assets used across documentation.
* Ensures stock levels are adequate and sufficiently maintained and authorised with key suppliers.
* Sanctions destruction of stock and re-prints. Drives improvements to reduce cost and wastage.
* Supports monitoring of documentation supplier’s activity, escalating issues and identifying resolutions.
* Monitors operational MI and performance and co-ordinates documentation-related incidents.
Essential Skills / Experience
* Excellent organisational and project management skills.
* Proficient in MS Outlook, Word and experienced to a base level of Excel.
* Ability to draft documentation based on data-driven outcomes demonstrating attention to detail at all times.
* Excellent relationship-building skills and experience of managing all levels of stakeholders.
Desirable Skills / Experience
* In-depth knowledge of the respective policy administration systems and correspondence functionality, and Digital Services Platform.
* In-depth knowledge of document management toolsets – Digital Asset Management (DAM), composition toolsets (GMC, Thunderhead etc.), records management (FileNet, other document repositories), digital and paper-fulfilment solutions.
* A good knowledge of the relevant regulatory policies, framework, and procedures.
* Expert advisor and business requirements co-ordinator across the specification, documentation, and testing of new and existing customer-related documentation.
* Understanding of how Allianz and external supplier document composition toolsets work.
* Experience and understanding of working with third-party external print providers to develop and deliver document change and run operational services.
* Relevant operational/transactional systems and good appreciation of testing and release cycles.
* Achieved or working towards CII or other relevant insurance qualification.
