We are seeking a proactive and experienced individual to join the Force Executive Team.
Responsibilities will include:
* Provide diary management and prioritise workload of Chief Officers
* Follow up action points and progress report accordingly
* Draft letters, memos, reports, briefing notes and presentation materials
* Deal with and filter telephone enquiries and correspondence received from both internal and external sources
* Track, coordinate, monitor and control information
* Work co-operatively with the Staff Office Team and colleagues to undertake, when required, various administrative tasks to ensure the efficient running of the Executive Office
* Conduct research, analysis and report on results
* Attend meetings for the purpose of taking minutes
* Preparation of and support to Chief Officer engagement events and Constabulary awards and events.
* Work additional hours and flexibly as required
* Any other duties that are commensurate with the role and grade as may be requested by management.
Special conditions/Points to note:
a) The purpose of this job description is to indicate the general level of the duties and responsibilities of the role; the duties may from time to time vary without changing the general character of the role or the levels of responsibilities.
b) Whilst the role is normally based at the aforementioned location, you may be required to work at other establishments within Norfolk Constabulary as may be reasonably required. Police Staff Conditions of Service will be adhered to in such instances.
c) All duties must be carried out in accordance with relevant Health and Safety legislation and good practice. A ‘No Smoking in the Work Place’ policy applies.
It is essential that applicants meet the following criteria:
* Significant Senior PA/Secretarial and administrative experience
* Extensive experience in the use of Microsoft Office and ICT System
* RSA 2 typing/word processing qualification or equivalent proven ability
* Proven ability to accurately compose documents and presentation material, making recommendations where appropriate
* Proven experience in maintaining efficient office support systems, with ability to respond to key deadlines e.g. maintaining the diary, arranging meetings, taking minutes etc.
Demonstrate excellent communication and interpersonal skills with the ability to liaise at all levels
* Flexible approach to work and changing priorities including the ability to work under pressure
* Ability to use initiative, share ideas and participate in the improvement and development of the service
The required vetting for this post is SC / MV. (If not already vetted a willingness to undertake the process)
Hours of work are 37 per week Monday to Friday.
