Job overview
An exciting opportunity has arisen for a motivated and well-organised individual to join our Administration Team in the Oral and Maxillofacial Surgery department at Charles Clifford Dental Hospital.
Audio Typist and Outpatient Reception Support
* The primary function of this role is to support the OMFS secretarial team by typing dictated clinical letters and correspondence.
* The secondary function of this role is to offer support to the Reception team, to support Outpatient Reception teams during busier times and to cover Reception duties during annual leave or sickness leave.
Flexible working pattern: The successful candidate will be required to work 37.5 hours over a 5-day working week. Usual work hours are 08:30 to 17:00 with an hour lunch break. We employ a flexible working policy, allowing staff to accrue up to a maximum of 6 hours monthly.
Main duties of the job
* Using G2 Speech Report Client to listen to Clinical dictations and type onto our Electronic Patient Record.
* A proficient all-round knowledge of medical terminology is preferred. You will be required to promptly file correspondence and investigation results into case notes in line with the trust policy, ensure accuracy and recording of all clinical events as part of the patient pathway, and provide general administrative support where required across the whole team.
* Maintain knowledge of filing systems and ability to file case notes in correct location. Understand the importance of accurate and timely filing.
* We are looking for someone with a pleasant, adaptable disposition who can remain calm under pressure and deal with a busy workload efficiently and effectively.
Reception Support
Reception support will be required during busier times, and during times where our full-time Reception Team are on annual leave or sick leave.
We are looking for organised, efficient, and progressive individuals who have previous customer care/receptionist experience and are able to demonstrate good communication and interpersonal skills; providing an excellent front of house service to patients, visitors, and staff.

Person specification
Qualifications
* GCSE at Grade 4/C or above in English and Maths (or equivalent qualifications/ equivalent experience).
* NVQ Level II in Business Administration / Customer Service / OCR Level II.
Experience
* Relevant experience within an office environment.
* Experience of working in a public-facing role/Audio Typing.
* Experience working within the NHS.
* Knowledge of medical terminology.
Further Training
* Knowledge of / experience of using information and/or customer service systems.
* Working knowledge of Microsoft Office packages including Outlook, Excel, and Word.
* G2 experience.
* Experience of PAS / Infoflex / SystmOne (area-specific software).
* Understanding of data protection issues and the ability to maintain confidentiality.
* Excellent communication skills, with the ability to deal with staff at all levels.
