Job Purpose
We are seeking a highly organized and experienced Senior Project Secretary with excellent communication/administrative skills and proven ability to manage project documentation, coordinate team activities, and ensure efficient project execution. You will provide comprehensive support to Clients, Project Managers and Engineers on a major Energy project.
Key Responsibilities
* Project Support: Provide comprehensive administrative and secretarial support to the Client and Project Manager, including workload planning, leave management, staff training, and project progress reporting.
* Documentation Management: Assist Project Engineers in preparing project reports, PowerPoints, Word and Excel document formatting, expediting deliverables, and managing project documents according to filing and archiving procedures.
* Communication & Coordination: Act as a central point of contact for project correspondence, ensuring proper document processing, dispatch, and recordkeeping. Coordinate the preparation of project reports, presentations, and other documents.
* Team Leadership: Oversee the work of Project Secretaries and Junior Project Secretaries, facilitating regular team meetings and knowledge sharing initiatives.
* Project Completion & Improvement: Contribute to project closure activities and identify and document lessons learned for future project improvement.
* Additional Duties: Manage project mailboxes, PCB databases, take phone calls, book conference rooms, and assist with general project administration.
Minimum Qualifications:
* Extensive relevant experience in a fast-paced engineering/construction environment.
* Excellent communication, interpersonal, and organizational skills.
* Proficient in Microsoft Office Suite.
