We’re looking for a People Coordinator to join the Foundry People team. Reporting into the People Manager, the People Coordinator is the first point of contact for all general People queries from Foundry’s global team; spread across EMEA, APAC and North America. The People Coordinator will play a key role in delivering an outstanding, customer-first service to the group – ensuring all administration that relates to our people, systems and processes is managed accurately and in a timely manner. The People Coordinator will also play a critical role in the delivery of the team’s high-priority project of 2025: embedding our brand new HRIS, Bob.
We’re looking for a process-driven individual with an exceptional attention to detail. You will thrive in a fast-paced and highly collaborative environment. You’ll be comfortable in the face of change and ambiguity and you’ll be motivated by the opportunity to own, embed and put your stamp on a new HRIS to enable the success of those around you.
Qualifications:
* Prior experience in a high-volume and fast-paced administrative function, ideally using Hi Bob to implement tasks, input data and manage People information
* Highly organised and conscientious with an exceptional attention to detail
* A team player who thrives in a highly collaborative, ambitious and projects-focused environment
* A passion for systems, processes and People Operations; motivated to create structure and implement changes/improvements that will enable the end-user
* A high regard for accuracy and confidentiality in handling a wide range of People data (including sensitive and personal information)
* Curious, results-driven and resourceful; using initiative to apply known methodologies, test new options, and seek out information to solve problems and deliver tasks. Comfortable with navigating ambiguity to do so
* Excellent written and verbal communication skills
* Good knowledge of Microsoft Office and Google Suite, especially Microsoft Excel
Responsibilities:
* Be the first point of contact for general People queries, responding in a timely and approachable manner and managing the People Inbox
* Maintain our People systems (Hi Bob, UKG, Confluence and Culture Amp) and People data - making accurate and timely updates to employee information, toolkits and documentation; and conducting regular audits to ensure data integrity, completeness and compliance with GDPR and internal requirements
* Ensure employee information is stored in compliance with GDPR laws, monitoring legal storage timeframes and deleting data and information where appropriate
* Own and implement processes; including payroll, onboarding and offboarding
* Generate digital paperwork across the employee lifecycle; including employment contracts, contractor agreements, and leave (e.g. family leave), change and leaver documentation
* Generate and schedule reports from Bob for the wider People team and other stakeholders
* Own the right to work process; ensuring the most up-to-date process is followed and correct documentation is stored. Monitor the visa status for sponsored employees, sharing timely updates with stakeholders and the SMS to ensure renewals and leavers are processed
* Coordinate benefit membership for new starters, employee changes and leavers across the UK, US and Ireland. Liaise with the relevant brokers to ensure changes are accurately reflected in employee records and invoices
* Be a key contributor to the administration of cyclical processes including annual compensation and benefit reviews across our various locations
* Own, implement and monitor employee time off plans and requests
* Support members of the People and Talent team with ad hoc administrative tasks that will enable the delivery of projects and BAU processes
Hi Bob:
* Own the continuous improvement and optimisation of Bob:
* Continually look for ways to streamline, simplify and automate using Bob – moving away from the use of trackers (e.g. Google Sheets) / living documents where possible
* Create guidance and toolkits for navigating process changes in digestible formats (including People-team documentation in Confluence); to effectively enable and empower Foundry’s people and promote a self-service culture
* Monitor conversations across Bob’s customer community – keeping an ear to the ground on how other customers are optimising the system
* Proactively share, discuss, test and implement new features / feature updates with the People team
Benefits:
* 25 days holiday + bank holidays
* Pension scheme & life assurance
* Health cash plan & medical insurance
* Season ticket loan
* Company’s social events
* Gym Discounts
* Annual Personal Development Time
* Passion Days
* Anniversary Day off
