A bit about the role …
Reporting into a Project Director, you will manage global meetings, events, and congress participation for our pharmaceutical clients. You will ensure each event is profitable, compliant, and meets client and team expectations. You will be responsible for all logistical elements and budget management, supported by a Project Executive who will handle attendee participation.
This role involves national and international travel and includes client partner, supplier, and financial management at all stages of the delivery—pre, on-site, and post-event.

What will you do …
Project Management :
1. Manage venues and logistical arrangements, including congress attendance, dinners, break-outs, housing blocks, and attrition.
2. Manage congress sponsorship activities, liaising with client contracting teams and booth providers.
3. Coordinate client requirements with third-party suppliers and internal service providers.
4. Produce and circulate communications such as weekly status reports.
5. Conduct site inspections and planning meetings with suppliers.
6. Manage post-event metric reporting.
Client Liaison and Development :
1. Deliver excellent customer service aligned with client goals.
2. Plan, attend, and implement client meetings, including debriefs.
3. Maintain budgets throughout each event, approve invoices, and track financials for positive cash flow.
4. Manage scope and charge clients for out-of-scope activities.
5. Identify and implement cost-saving measures.
6. Ensure compliance with invoicing procedures.
7. Prepare and maintain congress cross-charge budgets.
General :
1. Collaborate with support departments to meet client goals.
2. Assist new team members as a ‘Buddy’.
3. Apply company mission, vision, and values.
4. Follow all company and client procedures.
5. Maintain good relationships with venues and suppliers for value optimization.
6. Represent the agency professionally.
What do you need to have …
* At least 3 years of event management experience in corporate events.
* Experience managing event budgets from start to reconciliation.
* Team motivator and collaborative team player.
* Attention to accuracy, detail, and customer service.
* Intermediate Excel skills for complex spreadsheets.
* Willingness and ability to travel internationally on-site.
