Main duties of the job
About the Role:
As a key member of our team, you will provide vital Admin and Clerical Support across various departments, including our Central Admin Team and our OOH and Extended Hours Team. You'll be the backbone of our operations, ensuring everything runs smoothly and efficiently. The role is highly dynamic and will suit individuals who thrive in fast-paced environments, love communicating with others, and excel at managing detailed workloads.

Job responsibilities:
* To work as an administrator, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders and referring to others where appropriate.
* To complete telephone care navigation and conduct a triage service for patients as a first point of contact.
* Be responsible for complaint management and ensure that all complaints, comments, and suggestions are dealt with appropriately, in accordance with our policies, resolving where possible and escalating to line managers when appropriate.
* Monitor the workflow list, including out of hours, and book patients in to the relevant appointment.
* To process any blood results on behalf of the doctors and to send consultations back as and when required.
* Act as a receptionist, first point of contact for the department when required.
* Inputting info, monitoring, and printing reports from computerised systems.
* Photocopying and processing documents, letters, emails, minutes, and reports where required as well as monitoring the email inbox when on shift.
* Be a Chaperone as and when required for patients and GPs.
* Book in smear clinics and referrals when submitted.
* Ensure that general office supply levels are maintained. Complete stock checks and then gather this equipment on a regular basis to ensure stock levels remain sufficient.
* Able to work on own initiative and unsupervised, within defined policies and procedures to set timescales.
* Prepare clinical rooms at the start of the shift to ensure these are ready for the GPs, prior to clinics starting.
* Run and complete any reports as and when required.
* Be responsible for unlocking and locking up of the premises, ensuring the correct process is followed for building management.
* To carry out other appropriate delegated duties.
* Provide a safe transportation service to GPs, using time effectively to ensure a timely service to patients.
* Ensure personal understanding and knowledge of the fleet vehicle in use, and maintenance knowledge of all vehicles to ensure flexibility to drive all vehicles.
* Complete vehicle log sheets where necessary, reporting any issues to line manager.
* Ensure that routine maintenance, cleanliness and security requirements of vehicles and equipment being used on a personal shift are met.
* Be responsible for bringing patients in and out of the building, as and when required.
* Complete car check sheets on a weekly basis ensuring the drug boxes and defibrillators are regularly maintained.
* Promote positive and effective communications at all times with other Drivers, GPs and colleagues and also any external stakeholders.
Qualifications Essential:
* GCSE grade A to C in English and Maths
Desirable:
* Previous experience working in an NHS setting
* Previous admin experience
