Events Assistant & Business Support National Composites Centre Bristol based with Hybrid working Sponsorship: We are unable to offer sponsorship for this position. Summary: This is a new position to support our increasing number of events, exhibitions, and VIP visits, so that we can maintain a high level of delivery. Youll be part of a Marketing and Communication Team reporting to the Events Manager, supporting the preparation and on the day delivery for visits and events. Youll also support internal communications and provide ad hoc assistance to the Senior Leadership Team. Events Support (approximately 60% of role) Supporting the Events Manager in the successful planning, coordination, and execution of internal, customer, sector, governmental and inward investment visits. Managing the event invitation process, setting up for event facilities, on the day event support, liaising with internal departments and external stakeholders to ensure successful delivery. Working with the Events Manager to plan and deliver NCC brand exhibitions for space only and shell scheme delivery. Booking travel and hotel accommodation for exhibition staff. Travel to the exhibition site for stand sign off and set up, as required. Working closely with key NCC stakeholders and 3 rd party suppliers to confirm exacting requirements to help deliver a seamless meeting/event enhancing the customer experience. Coordinate event preparation and on the day support in areas such as room set-ups, visitor management, catering requirements. Business Support (approximately 20% of role) Providing excellent front of house service, enhancing the customer experience of the NCC as the first point of contact. Booking in visitors, generating and issuing the appropriate passes and filing any data in accordance with GDPR. Ensuring offices are consistently well maintained/tidy and conforms to the required Health and Safety standards. Ordering and maintaining good stock levels of all required consumables e.g. stationery, kitchen and refreshment supplies Administration of Business Travel system: user and supplier management, travel policy alignment, system updates, trouble shooting and support Scheduling meeting requests e.g. booking meeting rooms and online platforms as required Senior Leadership Team Support (approximately 15% of role) Coordinating the preparation of Senior Leadership Team led meetings and away days inclusive of venue arrangements, room set-ups, visitor management and catering requirements. Arranging domestic and international travel Monthly expense reconciliation Raising purchase orders for consumables Staff Engagement activities (approximately 5% of role) Coordinate the preparation and on the day support in areas such as: All-staff social events and help promote staff-led social activities e.g. sports clubs, walking group. On-site engagement activities, designed to help staff to connect across departments, and to encourage a greater on-site presence. So, what are we looking for in your application? We like to see diverse applications and welcome people from different industries.Specific experience we will look for in your CV would include; Prior career experience as an events assistant or coordinator, ideally within a similar industry or government sector. Experience supporting a range of event types such as exhibitions, VIP visits, conferences or investment visits. Experience within a business support function or similar activities described above. Good communication and interpersonal skills. Experience supporting senior leadership teams and VIPs. An interest in engineering, composites or manufacturing would be advantageous.
