This full time (40 hrs a week), Facilities Assistant role, is to join our London based Facilities department. The close-knit team is led by Jonathan Mitchell and is supported by an Assistant Facilities Manager, Senior Reprographics Coordinator, Reprographics Coordinator and two front of house Receptionists.
The department is responsible for the smooth running of our offices, including managing all ingoing/outgoing mail, bulk scanning, copying, printing, documentation management and archiving. The team also make sure the London office is secure, safe, and that amenities are stocked/in working order.
The team work on a shift pattern, making sure there is a member of the team onsite in the London office between 0730 and 1830. The shifts are as follows:
* 07.30 – 16.30
* 08.15 – 17.15
* 09.00 – 18.30 (Reprographics)
As a Facilities Assistant, you will be required to provide cover for the 0815-1715 shift, however, during annual leave or sick leave, you may be required to provide cover for one of the other shifts on an ad-hoc basis.
You will be responsible for a variety of tasks and the position would also allow you the opportunity to upskill by learning reprographics and to provide front of house cover, as and when necessary.
Day to day tasks will include:
* Managing requests/emails for distribution of documentation
* Making sure our 8th and 9th floor kitchens are kept tidy and stocked, including making sure the water stations are in operational order
* Making sure our 8th and 9th coffee machines are stocked, clean and in operational order
* Monitoring the various photocopy and stationery zones to ensure they are stocked
* Checking that work areas/social spaces are clean and tidy
* Checking that the internal Maglock doors are working / secure
* Checking that internal/external meeting rooms are tidy and stocked with stationary etc
* Re-stocking the vending machine
* Booking couriers/receiving couriers
* Scanning post and uploading this to our document management system (NetDocs)
* Franking outgoing post
* Monitoring/distributing internal post which arrives around 11.30am daily.
* Assisting where required with Records daily work and projects.

This position is an ideal entry level role for a positive, self-starter, who understands the value in client care and enjoys a varied working day. The position would see you regularly walking across our two London floors, interacting with people from across the firm, sometimes receiving ad-hoc requests. The role would therefore suit someone who thrives in a people-centric role and is unfazed by a well-planned day, changing at the last moment. You will have a keen eye for detail, have working knowledge of Excel, PowerPoint and Word, and finally be able to juggle priorities as and when required.
