Supply Chain Assistant
Location: Frimley, Surrey
Reports to: Supply Chain Manager
Job Purpose:
The Supply Chain Assistant will provide essential support to the Operations team, ensuring smooth and efficient supply chain management. This role involves coordinating logistics, managing stock movements, maintaining accurate records, and liaising with suppliers and contract manufacturers to track key supply chain data.
Key Responsibilities:
Operational & Supply Chain Support
* Provide overall support to the Operations Team, including Supply Chain and Technical functions.
* Assist in the management of artworks and packaging, ensuring artworks are submitted to suppliers in good time, and in line with order specifications.
* Oversee stock leftover movements between sites, coordinating transfers as required.
* Manage the organoleptic and reference sample process, ensuring timely collection, documentation, and testing by the NPD and Technical teams.
* Place materials purchase orders and track order progress to ensure timely delivery.
* Request monthly stock reports from contract manufacturing sites.
* Request monthly call-off contract balances from suppliers to monitor commitments and stock availability.
* Request and maintain product specifications, Proof of Delivery (PODs), and technical documents from suppliers.
Data Management & Reporting
* Maintain logistical tracking systems, ensuring accurate and up-to-date records of shipments and stock movements, and their cost.
* Ensure all relevant information related to contract manufacturers and suppliers is updated in the Hub (our internal system).
* Keep the PO Tracker on the Hub up to date, reflecting accurate purchasing records.
* Maintain and update the stock allocation sheet.
* Develop and manage a master database for storage fees incurred at contract manufacturing sites and track ongoing charges.
Experience & Qualifications:
* Prior experience in a supply chain, logistics, procurement, or operations role is beneficial but not essential.
* Strong administrative experience, particularly in data tracking and reporting.
* Experience working with ERP systems or internal supply chain tracking tools is an advantage.
* A degree or diploma in Supply Chain, Logistics, Business, or a related field is desirable but not mandatory.
