Band 4 - Major Projects Administrator, Strategic Development

The Major Projects team is currently seeking an experienced administrator to help make all our plans for new and improved facilities a reality. This post will support the Major Capital Projects programme across all sites, with the specific requirement for each site varying dependent on priorities as plans progress.
We are seeking a proactive, motivated and organised professional who will play a key role in supporting the delivery of various capital projects across our three hospital sites (Watford General, Hemel and St Albans City).
This role will provide comprehensive PA support to the Major Projects team and administrative support for key meetings (including agendas, minutes, action logs and following up on actions).
The postholder will be required to work full-time (37.5 hours per week) Monday to Friday and will need to travel across all 3 of our sites as required.

Main duties of the job
The successful candidate will be a proactive and organised individual who has experience in providing executive level PA support, with a proactive approach to managing multiple complex electronic diaries and inboxes.
They must be a confident communicator, capable of organising meetings, taking notes/minutes of meetings and preparing meeting papers (including agendas and action logs).
The post holder must have excellent IT skills, including the ability to proficiently use the Microsoft Office suite, including Outlook, Word, Excel and PowerPoint.
It would be an added benefit to the applicant if they have had experience working within a Project Management Office, and/or knowledge of project and programme administrative procedures and systems.

Job responsibilities
Specific responsibilities for the Acute Redevelopment Administrator include, but are not limited to:
* Provide full and comprehensive administrative support to the Major Projects team and wider redevelopment team, where necessary.
* Provide professional executive assistant support to the Major Projects Director and Senior Programme Manager, including proactive management of complex diaries, meeting scheduling and inboxes.
* Receive and process sensitive information appropriately and effectively communicate complicated information from other departments and external contractors to the team.
* Support the Programme Management Office (PMO) by setting up Project Team/Board meetings and support with the collation and circulation of project documentation (including Risk Registers, Action Logs, Query Logs and regular Highlight Reports).
* Support the wider Redevelopment team with any other tasks related to current projects, as required.
Person Specification
Education and qualifications
* Educated to NVQ Level 2, or equivalent experience.
* Evidence of continuing professional development, or willingness to do so.
Knowledge
* Excellent IT skills including ability to proficiently use the Microsoft Office suite, including Word, Excel, PowerPoint and Outlook.
* Advanced and accurate keyboard skills.
Experience
* Demonstrable experience of working in a similar administrative role.
* Experience working in a busy and demanding environment.
* Experience of organising, attending and taking minutes/notes at meetings.
* Experience of managing multiple electronic diaries, with a proactive approach to resolving conflicting meetings.
* Executive assistance experience, including diary management, inbox management, and general administrative support.
* Administration experience in a clinical/NHS setting.
* Knowledge of project administrative procedures and systems.
