Role: Office Coordinator - Contract - Belfast
Job Overview
VANRATH is pleased to assist one of Northern Ireland's prominent public sector organisations in their search for an Office Coordinator to cover a six-month period. The successful candidate will be responsible for effectively managing the administrative team, ensuring the leadership team receives high-quality and efficient support.
* Salary: £28,000
* Location: Belfast
* Contract: 6-months
Key Responsibilities:
* Oversee the administrative functions for the Chairman and Chief Executive, ensuring efficient operations and continuous improvements.
* Handle incoming correspondence, respond to queries, and ensure timely follow-ups.
* Maintain filing systems, manage office supplies, and coordinate travel arrangements and requisitions.
* Plan and assist in corporate events, collaborating with external organisations as required.
* Supervise administrative staff, ensuring smooth office operations and overseeing recruitment processes.
* Foster effective communication within the team and contribute to the development of office procedures.
* Manage staff, delegate tasks, and provide training as necessary.
* Promote equality, adhere to organisational policies, and maintain health and safety standards.
* Take responsibility for personal development and maintain professionalism in all interactions.
Essential Criteria:
* A degree and at least 1 year's experience in staff supervision (Band 4 or equivalent)
OR
* 5 years' administrative experience, including 2 years supervising staff (Band 4 or equivalent)
* Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, and databases)
* Full UK driving licence and access to a car (unless exempt due to disability)
* Excellent written and verbal communication skills
* RSA Typing / ECDL or equivalent qualification
* Business Administration or Management qualification
* Confident telephone manner and strong interpersonal skills
* Experience in minute-taking at committee level
* Ability to work independently and use initiative
